Full Job Description
As a Facilities Coordinator, you're the go-to person who helps keeping AO running smoothly! You'll be a key point of contact for issues and queries, and make sure they're passed to the relevant on-site maintenance or contracted maintenance provider as quick as possible. From scheduling regular checkups on equipment, to raising PO's - you'll help make sure everything is in good shape. You'll take the initiative to keep improving our Head Office, Outbases, and Estates department, always showing that you can spot what needs to be done and figure out what's most important to tackle first. As part of the facilities team, you'll need to be flexible and available for on call duties as part of a rota. Predominantly you'll be based at our Bolton site, with an expectancy to travel. - Reactive job logging, monitoring progress and ensuring completion
- Pre-planned maintenance job logging, monitoring process and ensuring completion
- Updating in house CAFM system (HALO)
- Making sure statutory/non-statutory inspections are booked in advance with contractors
- Managing PPM (Planned Preventative Maintenance) schedules
- Collaboration with contractors to arrange service and repair schedules
- Completing work permits and approving RAMS for contractors visiting site
- Obtain quotes, place purchase orders and assist with invoice queries
- Reception duties/holiday cover as required
- Monitoring facilities management inbox
- Site visits/travel as required
- Involvement in estates projects
- Validation of utilities invoices (Gas, Electric & Water)
