Full Job Description
Supporting the Workplace Lead and Workplace Manager in overseeing daily site services to include helpdesk management, finance admin tasks, client queries and requests, communication with vendors and accelerating issues as necessary. Ensuring a safe, clean, and comfortable work environment at all times. Key Roles and Responsibilities
- Monitoring of Global Real Estate inbox and assisting with answering requests and queries in a timely manner and escalating where required.
- CAFM management of all PPM's and Reactive Work Orders
- Assist in answering incoming calls to the Global Real Estate Helpdesk and action in a timely manner. Follow requests through from beginning to end, ensuring work is completed within agreed service level.
- Coordinate and manage special requests for workplace services that are outside of the routine services provided.
- Oversee work performed by subcontracted supply chain and ensure that all work is performed at the prescribed service level and frequency.
- Coordinate and deliver onsite events as and when required.
- Support Workplace Lead with site inspections/audits to ensure a clean, safe and comfortable work environment.
- Perform daily, weekly and monthly finance tasks as required, to include, but not limited to, raising of POs, Goods Receipting, monitoring of invoice queries to keep aged debit to a minimum, communicating with vendors and JLL Accounts Payable to resolve invoice queries.
- Assist in covering Community Host with reception duties, switchboard and mail tasks as and when required to cover breaks, sickness and holidays. Person Specifications

- A problem solver. An ability to understand problems and their impact and provide resolutions in a timely manner in a fast pasted environment

- Have care for the workspace and ensure it is up-held to the highest standard
- Ideal, but not essential, experience working in a Facilities/Help Desk/Customer Service-related field.
