You can read more on InnovateHer here: https://www.innovateher.co.uk/Mission -Reporting to the Facilities Manager, to provide operational and administration support within the Facilities department at the Clevedon Product Company and satellite sites, to ensure that all sites are fully maintained and functional for all stakeholders and users. To provide information and direct support to enable the Facilities Manager to provide informative direction and leadership to the Clevedon site management team regarding site matters. Main Responsibilities -General OverviewCoordination of PPM portfolios and reportingCorodination of mechanical and electrical service partners & contractorsMaintain department compliance records in line with the requirements of ISO 45001, ISO 14001 and local procedures.Liaise and coordinate external suppliers and contractors in the delivery of planned works, (Hard & Soft Services).Control permit to work procedures, review and agree the Risk assessments and method statements (RAMS) of all works undertaken by contractorsEnsure works are completed and carried out to a high standard for sign off and record keeping following company proceduresLiaise and coordinate works to in-house maintenance teamFacilities ServicesUse and control of Planet FM (Ultimo) , Call logging and work order management system.Prioritising incoming maintenance requests and assign to external contractors or internal resource as required.Providing regular reports on service delivery to Facilities ManagerTracking, updating and management of work orders due and overdue.Checking completion of work order.Provide customer feedback on work order updates, progression etc.Control of contractors to site, work permits, reports, keeping database up to date.Logging and management of planned/projects works orders on PlanetFM (Ultimo) to facilitate maintenance, and installation of new assets updating team leaders, closing works orders upon completion.Customer Service (external and internal)/ PlanetFM (Ultimo)Be the initial point of contact for all site personnel with queries regarding site services.Be first point of contact for all site personnel who wish to report a service or equipment issue, using Planet FM (Ultimo) Call logging and works order management system as a planning tool.Determine priority of service /equipment issue, log onto PlanetFM (Ultimo) system and allocate to maintenance team.Experience & SkillsEducation: A degree in Facility Management or Business Administration is preferred. The IWFM Level 3 award in Facilities Management is also a recognized qualification that can be suitable for those starting out in the field.
