Full Job Description

BYD UK is seeking a skilled Facilities Manager to ensure the smooth operation and safety of our facilities in London. The overall purpose of the role is to manage and maintain a common standard of building and facilities maintenance service relating to the upkeep of premises which may include aspects of Health and Safety, security and fleet management. This position will supervise the day-to-day activities of the facilities team and will be the primary liaison for BYD UK and its suppliers for all facilities requirements. Responsible for managing the day to day running of our office sitting at Uxbridge London with further expansion this year. Job Description / Key Responsibilities:

  • Comply with all health and safety policies and procedures and UK standards
  • Maintain equipment and building provisions to meet health and safety requirements
  • Organize and plan building installments and refurbishments
  • Prepare and implement project budgets and time frames
  • Communicate with external contractors/vendors and landlords ensuring building standards in communal areas are kept well, in line with any lease agreement
  • Managing building and system emergencies as they arise
  • Sourcing contractors and suppliers for repairs, maintenance, cleaning, renovations, waste disposal, security and IT systems
  • Managing budgets and identify areas for cost savings
  • Developing building plans outlining strategies for improving efficiency and reducing costs and forecasting the facility's future needs
  • Ensuring building maintenance reports are up to date
  • Provides day-to-day supervision for facility including but not limited to, heating and cooling, alarms, cleaning/janitorial, deliveries, waste management and general maintenance
  • Manages department budget to ensure all required compliance costs are captured along with requesting funds
  • Monitors working practices and adherence to safety procedures and regulations to ensure safety of employees working in the area
  • Liaises with functional or operational area managers and administrative assistants to ensure that facility team activities are integrated with other parts of the business.
  • Assists in identifying resolution to technical problems and feasibility of proposed solutions
  • Assists with strategic planning, participates in continuous improvement and projects for the facility function especially related to site sustainability goals
  • Will help with set up and take down of events, daily routine of checking supplies including ordering, stocking as necessary
  • Managing relationships with all facilities vendors to ensure the appropriate standard is met and maintained. In addition, this includes running tenders to identify the right supply chain partners and raising the subsequent requisitions / orders for all appropriate services and goods
  • Supports new starter on boarding
  • Supporting as and when required the management of the office areas ie. booking of meeting rooms for large events and ensuring the facility in a state of readiness

    Experience in a similar role, 5+ years preferred
  • Knowledge of HVAC and other building systems
  • Excellent time management and multitasking skills
  • Basic understanding of accounting and finance principles
  • Strong problem solving skills
  • Experience maintaining and adhering to budgets
  • Excellent verbal and written communication skills
  • Contract handling experience
  • Strong attention to detail
  • Business management, including scheduling, strategic planning and administration
  • Has right-to-work in the UK.
