Full Job Description

Managed by the Facilities and Data Officer, you will be part of the facilities team and ensure that the facilities inbox and access control system are effectively managed, along with helping to deliver corporate accommodation projects.

You will be working with minimal supervision however following clear guidelines to ensure both access control and facilities requests are actioned in priority order. Management of the Permit to work system is a crucial part of ongoing contractual works and requires the post holder to scrutinize and de-conflict with all the relevant departments and ensure all relevant administration is submitted prior to works being carried out.

There is an element of customer service dealing with new members of staff, and ensuring they have ID cards created for them promptly, And with the correct access to work in accordance with corporate governance. Working closely with the operational teams in both security and Despatch to provide staff cover and keep the operational services running as and when required is an essential part of the role.

The role has a dual purpose that will need the candidate to be physically fit as involves moving furniture, constructing desks, and having a practical skill set that support large scale office accommodation movement. Training for SIA and First Aid will be provided to ensure continuity as well as meeting any business need for out of hours working.

The other side of the role will need the candidate to demonstrate high level IT skills and judgment in prioritising demand from customers and staff. Ordering uniform and maintaining the Facilities Management inbox are also key elements of the role.

1. Have previous administrative experience including working knowledge of Access control.
2. Be able to communicate effectively and work cohesively in a team environment.
3. An ability to communicate at all levels and engage directly with the customers, you will be of smart appearance as you will have direct contact with staff, tenants and visitors to the building.
4. Be able to work cohesively with contractors in order to ensure compliance with PCC processes and H&S Regulations.
5. Customer focus is a key element of the role; therefore you will need good interpersonal and communication skills. You will need to be tactful, diplomatic and polite. You will also need proven customer service experience.
6. Be flexible in approach and understand the need to adapt to changing workloads, roles and shifts in order to cover for others in the facilities team sometimes outside of normal working hours.
7. Be proactive, self-motivated, an ability to perform several functions simultaneously and ability to show initiative, as you may be required to work on your own.
8. Understand and be able to demonstrate times when you have followed procedures and processes.
9. Have a basic understanding of Microsoft applications such as outlook and word A strong knowledge of Paxton net2 system and access control is desirable.
