Full Job Description

The Facilities Team Co-ordinator is responsible for coordinating and helping to deliver effective and efficient facilities management, estates, ICT/AV and health and safety support for all Business School staff and students across the White City and South Kensington campuses, and when required, other external teaching locations. The Facilities Team Coordinator role also includes liaising with various service providers and managing the service contracts for the Business School White City campus, keeping up to date records, raising purchase orders and closely monitoring invoices for accuracy.What you would be doing You will work autonomously; organising and planning your own work activities and will be required to work flexibly in order to respond to changing demands to meet service delivery and customer service requirements. You will be responsible for developing and maintaining relationships with key stakeholders across both White City and South Kensington campuses, ensuring smooth running of Business School facilities and services. Your duties include a high level of health and safety responsibility, including monitoring incident reports and safety inspections, ensuring compliance with safety regulations, and maintaining staff safety training records. You will also act as Secretary to the Health and Safety Committees, supporting meetings, recording and archiving minutes, and tracking follow-up actions.

  • Educated to degree level (or equivalent) or have relevant experience of working in a facilities or maintenance team
  • Strong interpersonal skills and the ability to influence people at all levels throughout the organisation internally and externally
  • Ability to perform effectively under pressure with good personal organisation and time management skills
  • Excellent communication skills both written and verbal
  • Ability to produce clear, concise reports
  • Excellent customer focus and customer relations skills
  • Comfortable with traveling to other campuses and external sites as required
