Full Job Description

The role as primary administrator for the Features and Features & Lifestyle Publishing teams requires a proactive approach to work and the ability to juggle conflicting priorities with ease. The desk manager must ensure that rotas are managed across the seven day operation and provide support to the various editors as well as the departments as a whole. This role is ideal for a career administrator with a passion for operational excellence who must ensure the smooth running of all editorial processes.,

  • Managing the Features and Features & Lifestyle Publishing desk rota across a seven day operation. Holiday requests and absences must be accurately recorded to ensure each area has adequate coverage of editors, commissioners, writers and publishers to support our subscription-first strategy.
  • Editor support for Magazine Editor, Head of Features & Head of Features & Lifestyle Publishing and Senior Editors within Features to include coordinating team meetings and comms across departments.
  • Verifying and processing contributor lineage and invoices, ensuring spend is correctly attributed and in line with budgets. Liaison with freelance writers, photographers, and other contributors regarding payment-related queries.
  • Onboarding of permanent and casual workers across the department, arranging all IT equipment, logins and building access.
  • Ensuring expenses are filed on time and performing quality control checks ensuring compliance with company policies.
  • Working with the Health & Safety department ensuring all relevant journalists have valid annual risk assessments in place.
  • Mobilising writers by arranging travel as necessary.
  • Act as the first point of contact for any administrative issues within the department.
  • Monitoring and distributing News Tips via voicemail line alongside other Desk Managers.
  • This role is office based 5 days per week.

  • As the administrative lynch pin for the departments, you must be highly organised, remain calm under pressure and thrive in a fast-paced environment.
  • Experienced in following business processes and procedures with accuracy and spotting ways in which to improve efficiencies.
  • The ability to build relationships and alliances both verbally and in the written word.
  • You must be resourceful, adept at problem-solving and be able to handle setbacks with good humour.
  • Forward-thinking approach by anticipating the needs of the desks and prepared to go the extra mile when required.
  • Proficiency working within Google Suite. .
  • Editorial experience preferable but not essential.
  • This is a pivotal, behind-the-scenes role with no involvement in content creation.
