Full Job Description
To support The Outdoors Group in ensuring the effective and efficient administration of the company's finances. You will co-ordinate and facilitate routine financial activity and support the Head of Business Management with development of systems and processes to support compliance, create efficiencies and ensure that the company has accurate and up-to-date data and reports, to inform financial management decisions and improve practices company wide., Ensure that finance administration is happening in a timely way, including:
- The raising of invoices
- The chasing of unpaid invoices (aged receivables)
- Reconciliation of financial transactions, in line with the company's business rules for finance
- The payment of bills and invoices including bulk payment administration
- The processing of the monthly payroll
- Company expense card management
- Creating and reviewing journal entries on our financial management system
- The processing and payment of staff expenses
- Banking activities and transactions including the management of direct debits and standing orders.
- Effective mailbox management for associated mailboxes The creation and circulation of reports, including monthly management reports for the whole company and departments and quarterly financial statements. You are responsible for creating and maintaining the company's financial forecasts and supporting departments with the creation and review of product viability analysis and forecast modelling tools. Support financial year end procedures and the preparation of company and departmental budgets. Provide training and support to colleagues across the organisation regarding budget management and our financial systems and processes. Including the production of information sheets and guidance for use by the whole company. Produce policies for use by staff, customers and suppliers in relation to financial matters. You will monitor and administrate staff access and user accounts for our financial management systems and software. Manage the filing, storage, archiving and security of documents and records in line with the company's GDPR and Records Management Policies and Procedures. Effective, professional and timely communication in line with the company's Customer Charter Policy. Responding to queries from internal colleagues and external suppliers and customers. Statutory Responsibilities:
- Ensure to comply with the Company's Safeguarding Policy and Procedures.
- Ensure to comply with the Company's GDPR Policy and Procedures.
- Ensure to comply with the Company's Health and Safety Policy and Procedures
- Ensure all mandatory training required for the role and Company are complete.
- Ensure all Company Policies and Procedures issued through People HR are read, understood and signed. Line Management Responsibilities
- Supervision of the Finance Administrators' activity. This post requires a DBS check. This job description is current at the date shown, but in consultation with you, may be amended by your line manager to reflect or anticipate changes in the job role.
- Previous experience working in a finance role.
- Strong numeracy skills and attention to detail.
- Ability to prioritise workload effectively to meet deadlines and manage competing demands.
- Excellent communication and inter-personal skills.
- Good written communication skills, with the ability to absorb complex information and present it to audiences in a clear and accessible way.
- Confidence working with a variety of software solutions and data platforms, including Microsoft Office, in particular Excel.
- Confident and comfortable articulating and presenting data and information to senior leaders and directors.
- Well-developed IT skills.
- Ability to use initiative and work autonomously.
