Full Job Description

The Finance and Operations Assistant will be based in our busy Finance, Operations and Compliance team. Covering income transactions analysis and posting on SUN Systems, assist with on Raisers Edge data processing and support with general administration. Working closely with the team and reporting to the Finance Manager, you will support the team with accounts payable, income processing and general administrative tasks and you will gain experience working on our Database and Accounting Systems, Raisers Edge and SUN Systems, respectively. You will manage your time effectively across a few different tasks, placing a high emphasis on quality, accuracy, flexibility, and efficiency., Accounts Payable - you will support the Finance Manager with the following tasks:

  • Guided by the Delegation of Authority you will seek relevant approvals and ensure timely processing of suppliers' invoices and staff expenses. and international transfers. Processing.
  • Liaison with budget holders and line of business leads to verify budget and ensure accurate coding of expenditure and/or verifying expenses.
  • Administering transfers to programme implementing partners in line with HFH International policies and procedures.
  • Other ad hoc payments, including foreign currency transactions.
  • Reconciling supplier accounts monthly.
  • Maintaining accountability documentation (invoices, receipts, approvals, etc) as professionally required.
  • Income processing and accounts receivable -
  • Income processing on Raisers' Edge ensuring correct coding and allocations.
  • Processing of Gift Aid.
  • Processing all Direct Debit payments.
  • Monitoring and processing online credit card, gift and events payments Reviewing income downloads from RE to be posted SUN systems ensuring data integrity and consistency.
  • Income journals and reconciliations are completed in time for a smooth monthly, quarterly and year end closing and audit.
  • Assist with data-entry process for all donations.
  • Monthly reconciliation between RE and SUN systems
  • Operations and admin support -
  • Processing staff expenses using SAP Concur.
  • Banking tasks.
  • Annual external audit document preparation.
  • Managing incoming calls emails and actioning as appropriate
  • Keeping our telephone donation line open and process the telephone donations in a required format.
  • Managing office consumables and equipment ensuring timely replenishment of stock and servicing/maintenance of equipment, including managing remote working equipment inventory
  • Assist income processing team to have donations, appeal responses and other mail securely opened, appropriately documented, processed, acknowledge, and stored in line with our data protection policy.

  • Demonstrates knowledge and experience of working with accounting systems.
  • IT proficient, with skills in Microsoft Office products, including Excel.
  • Some experience of working with database systems.
  • A good understanding on the data privacy, data security, and other relevant implications of GDPR.
  • Demonstrated ability to work with people at all levels and from diverse backgrounds.
  • Excellent communication and people skills, able to work collaboratively with own and other teams
  • Strong organisation skills with good attention to detail.
  • Numerate
  • Has a flexible attitude to work and willing to work on different tasks to ensure colleagues are effectively supported to meet deadlines.
  • Undertaking or willingness to undertake professional accountancy studies/ part qualified desirable.
  • Knowledge of voluntary sector and experience working in international development or NGO sector is desirable.
