Full Job Description

Working as part of a team you will take primary responsibility for balance sheet reconciliations and US payroll processing, maintaining high levels of accuracy and working efficiently to meet deadlines.
Main Responsibilities:
US payroll (bi-weekly)

  • Calculation of overtime and working hours from timesheets and rota information.

  • Checking calculations for starters and leavers based on HR data provided.

  • System administration - setting up new starters/amending employee profiles on the finance and payroll systems, issuing timesheet instructions and other guidance, working alongside HR.

  • Communicating with US Team Leaders to resolve queries to tight deadlines.

  • Review expenses submissions and add to payroll submissions for payment.

  • Track staff absences and ensure payments are in line with policies.

  • Update variable pay details on the bureau payroll software (ADP).

  • Managing regular salary deductions (eg 401k, childcare) and related correspondence.

  • Preparing payroll journals to enable costs to be booked into finance system.

  • Ensuring staff get paid on time.

  • Respond to queries from employees.


  • Payroll reporting and other ad hoc tasks
  • Monthly reporting of costs by department/country/cost type.

  • Timesheet and other ad hoc reports for non-finance departments.

  • Assist with checking and review of other Group payrolls prior to processing.

  • Liaise with external advisors to set up tax accounts.

  • Complete Unemployment insurance questionnaires as required by States.

  • Holiday cover for other Group payrolls.

  • Work with HR on policy documents.


  • Finance
  • Month end prepayments, overhead cost accruals, fixed asset register updates for Group companies.

  • Reconcile and close ledgers.

  • Update month end exchange rates on the system.

  • Intercompany balance reconciliations.

  • Reconcile key balance sheet accounts.

    Prior finance and payroll experience and excellent excel skills (pivots, charts, lookups) essential.


  • Knowledge of USA payroll processing advantageous.
