Full Job Description

An exciting opportunity has arisen for an organized and enthusiastic Financial Administration Manager to join our skilled and established Operations team, based in Liverpool City Centre at 16a architecture. This role is integral to the day-to-day financial operations of our architecture firm, ensuring smooth invoicing processes, accurate cash flow forecasting, and effective financial administration support for the wider team.

Key Roles & Responsibilities:

Support Directors: Assist directors in maintaining profitability, analysing day-to-day practice costings, timings, and overall direction. Hold weekly forecast meetings to review financial performance.

Job Profitability Analysis: Help directors understand the profitability of each job, providing detailed financial insights and recommendations.

Payroll: Assist with submitting payroll to employees/ directors on a monthly basis

Invoice Management: Raise sales invoices and credits in accordance with company policies, ensuring accuracy and timely submission.

Customer Relations: Build and maintain strong relationships with customers, acting as a primary point of contact for financial queries and issues. Data in put and management of client database upon appointment

Credit Control Liaison: Work closely with the credit control team to ensure outstanding invoices are cleared and paid on time.

Financial Audit Support: Provide necessary support and information to the finance team during financial audits, ensuring compliance and accuracy in relation to departmental activities.

Client System Management: Upload information to client systems as required, set up new job files, organize initial client meetings, and send calendar invitations.

Administrative Duties: Complete and submit bid documents, manage printing tasks, and maintain an organized file and folder system.

Microsoft Excel: Excellent knowledge and proficiency in Microsoft Excel (Essential).

IT Competencies: Strong computer and IT skills, with the ability to quickly learn new software and systems (Essential).

Communication Skills: Excellent written and verbal communication abilities (Essential).

Organizational Skills: Ability to organize and prioritize workload effectively, managing multiple tasks concurrently (Essential).

Administration Experience: Previous experience in an administrative role, ideally within a finance or office environment (Essential).

Qualifications:

Background in finance, administration, or a related field. ideally degree level.

Experience working in an office environment, preferably in a finance or architectural setting.
