Full Job Description
Working alongside the Sandwich Business Administration Team to provide comprehensive administrative support to the wider Viatris organisation at Sandwich. Every day, we rise to the challenge to make a difference and here's how the Front of House Administrator role will make an impact:
- Processing all visitor notifications within landlord online portal
- Meeting and greeting visitors, service engineers and colleagues from other sites to Sandwich office
- Reviewing engineers training records prior to site visit, and arranging any training as required
- Responsibility for the review, logging, and processing of security access passes for visitors/engineers
- Manage hospitality orders via a third party, on behalf of the department
- Managing responses to/from admin shared mailbox
- Raising and processing of purchase orders and invoices received for admin function
- Replenishing stationery and kitchen supply stock
- Assisting in management of couriers and shipping
- Reporting facility issues via TABS to the Facility Management provider
- Preparing and editing correspondence, communications, presentations, and other documentation as required
- This is a site-based role that is not suitable for flexible or remote working.
- Hours of work are from 7.45am - 3.45pm, Monday - Friday, with a 30-minute unpaid lunchbreak (37.5hrs per week).
Previous administrative and FoH experience required - Proficient on Microsoft products including Outlook, Word, PowerPoint and Excel
- Strong customer service focus with ability to work collaboratively with others
- Effective verbal and written communication skills
- Ability to interact with staff at all levels and contacts both internal and external
- Must be proactive and solution orientated looking for ways to add value to the team
- Demonstrates strong inter-personal and organisational skills
- Ability to multi-task and prioritise work with strong attention to detail
- Consistently demonstrates an enthusiastic, positive and helpful demeanour
- Ability to work confidently, independently and as part of a team
