The Front of House Co-ordinator acts as the heart of the workplace. You will be the warm welcome and first point of contact for our colleagues, contractors and visitors, creating a supportive and service-oriented atmosphere that enhances the evolving Workplace Experience. It's about detail, best practice, knowing what good looks like and then raising the bar.

They are responsible for providing employee facing workplace services and taking ownership of all Front of house reception services including but not limited to greeting visitors in a warm and welcoming manner, answering and directing calls, assisting with employee queries, providing support to the Workplace management team and other service-based or administrative tasks as assigned.

Key Responsibilities

· To own the delivery of Front of House services, ensuring all customer requirements are met in a timely fashion and with a smile.Act as key point of engagement with employees and visitors.

· Deliver a high-quality customer focused Front of House, Switchboard operation, Room Bookings service and day to day delivery of operations within agreed service delivery levels to exceed expectations.

· Meeting room hospitality management and room moves & changes.

· Maintains a smart appearance, provides service with a smile and is accommodating to all customer requests. Provides a good first impression for the Organisation, which can affect the company's success.

· Create an exceptional experience for interview candidates and visiting employees.

· Assist wider Workplace team as needed to deliver exceptional service as One Team.

· Confidence to communicate with key stakeholders.

· Manage the reception and meeting room areas to ensure this is clean, tidy and presentable at all times, undertaking general housekeeping services when necessary.

· Suggest innovations or changes that might enhance the visitor and employee experience.

· Proactive management of customer experience initiatives through direct engagement with customer staff and other suppliers.

· Managing the reception mail inbox and assisting with closing out to completion of all incoming FM service requests.

· Assist in ensuring compliance with Health & Safety requirements such as H&S reporting (e.g. Hazard Reporting), first aid/ fire aid duties, e-Logbooks and promoting a safe working environment.

· Management of security and access passes for employees and visitors.

· To deliver other site services including Post, Couriers, Stationery, Office Services, Staff Inductions etc.

· Assisting with the managing of the Helpdesk CAFM system, logging reactives, closing PPMs etc.

· Other associated tasks as directed by line management.

Accountabilities

Reporting to CBRE Workplace Manager.

Accountability to the CBRE functional heads, as appropriate.

Accountable day-to-day to the relevant client contacts.

Adherence to relevant QHSE guidance and legislation.

· Experience in a similar position (Front Desk, Room Management, Customer Service role would be beneficial.)

· Must be willing to stretch themselves for future opportunities to run the site operations in the absence of the Workplace Manager.

· Must be a team player with a proactive, and flexible, people-first attitude.

· Ability to multi-task and work in a fast-paced environment.

· Demonstrable problem-solving skills, with the ability to be resourceful and innovative.

· Strong attention to detail and excellent organisation skills.

· Able to work independently, whilst being reactive to the current needs of the workplace

· Friendly and professional disposition, with the ability to maintain successful relationships with all internal and external stakeholders.

· Self-motivated, hands-on, and not afraid to tackle any problem however big or small.
