Full Job Description

Central Functions is formed of the teams and people that serve the entire business. These people are integral to the smooth running of the business; ensuring everyone is paid on time, that materials are sourced and arrive promptly, that we meet our legal obligations and that our health, safety, and security is safeguarded., The Facilities team is responsible for maintaining all THG sites, ensuring that all colleagues and visitors are in a clean, safe environment while on site.

Reporting to the Facilities Manager, the Front of House Receptionist will be the face of the business for visiting colleagues and guests and be responsible for leaving great first impression. A passion for exceptional customer service delivery is a must, along with an ability to multi-task while creating a warm and welcoming environment.

Responsibilities:

  • Greeting and welcoming guests, visitors and colleagues.

  • Providing information on site layout and directions.

  • Answering phone calls, scheduling appointments, dealing with enquiries and administrative tasks.

  • Arranging and serving refreshments to waiting visitors.

  • Ensuring the Reception area is clean, comfortable, tidy, presentable, and welcoming.

  • Providing an outstanding customer service and ensuring a pleasant visit for all visitors.

  • Opening and closing reception, locking away the keys and access cards securely

  • Answering the vehicle and access gate, opening it remotely where required

  • Helping visitors access the visitor car park, liaising with security for access where required

  • Assisting visitors/contractors, deliveries accessing the site via the gatehouse to delivery, liaising with security for access where required

  • Meeting and greeting site visitors in reception, signing them in and out. Locating the appropriate contact person and notifying them of the guests' arrival via email, Teams, and telephone

  • Handling site inductions for guest, visitors and contractors

  • Liaising with security and providing and logging temporary site access cards for contractors and visitors

  • Assisting with access within the building (escorting, opening doors)

  • Handling meeting room bookings (accepting, rejecting, re-booking) and meeting room signage

  • Making sure meeting rooms are tidy, well presented, supplied with stationery and prepared for meeting sessions

  • Scanning, sorting, and filing documents used in reception as per company policy

  • Accepting, sorting, and storing and notifying of deliveries where required

  • Printing, scanning and laminating materials

  • Creating and printing internal staff communications

  • Assisting with VIP visits (meeting and greeting, arranging, and serving refreshments)

  • Overseeing Reception supplies, stationery and inventory
