Full Job Description

The post-holder will provide a high level of administrative support to undergraduate students, doctors in training, Educational and Clinical Supervisors, Training Programme Directors and the Undergraduate Co-ordinator., To provide administrative support for the undergraduate programmes on the PRUH site (Stages 1, 2 and 3). This involves organising regular undergraduate inductions, including booking suitable training rooms and ensuring that the rooms are set up as appropriate. Ensure that quality assurance systems are maintained
To work with the Medical Undergraduate Coordinator and clinical leads to produce undergraduate timetables for all Stages and all rotations for the undergraduate programmes.
To liaise with Kings College London (KCL) Administrators and local leads to ensure that information is shared between all relevant teams within PRUH, Denmark Hill and KCL.
To represent the PRUH site at regular Undergraduate Administrator meetings, these meetings are well attended by other Administrators within the South East sector.
To provide secretarial and administrative support to the DME and Associate DME for all undergraduate areas.
To organise and minute regular local undergraduate faculty meetings on a regular basis.
To provide pastoral support to undergraduates when needed and escalate any concerns/issues as appropriate to the DME team and/or KCL.
To assist with the preparation of any relevant documentation to support contract quality assurance and contract monitoring reporting and internal/external visits.
To process all undergraduate expense claims through to finance according to local procedures and ensure that accurate records are kept., To provide secretarial and administrative support to the PGMDE PRUH Site Service Manager and Medical Education Manager to include typing, photocopying, minute taking, filing and general administrative tasks.
Assist with the administration of Training Programmes and Courses held on the PRUH site as and when required.
Assist with data entry as required for all PGMDE systems.
General office duties including answering phone, taking messages, opening post, receiving and welcoming visitors to the Department.
Arrange meetings as required, ordering hospitality and booking venues.
In the absence of members of the PGMDE Team provide appropriate cover to ensure the quality of service is provided to all Centre users.
Assist with the preparation of any relevant documentation to support contract quality assurance and contract monitoring reporting and visits.
Maintain the confidentiality of all information in accordance with the requirements of the Data Protection Act and the Trust's Information Systems Security Policy
