Full Job Description

We are looking for an experienced, motivated person with excellent organisational skills to join the team. You will work with colleagues to shape the team so that the service functions effectively. You will directly work with and support the Group Director of Nursing - Fundamentals of Care . You will need excellent communication skills, be competent in using Microsoft Office, and confident in organising meetings and taking minutes. Part of this role requires you to collate data for reports and support collation and proof reading of written reports . You will work as part of a team so team work is an essential asset.   • Interviews will be held on Monday 7th October 12.00-16.00, To provide high level administrative support for the Group Director of Nursing, Fundamentals of Care.
  • To support and provide administrative support to the Fundamentals of Care Team. To maintain the highest standards of data quality and integrity, ensuring records are accurately maintained in a timely manner and meet the required standards of reporting for both internal and external stakeholders. Responsible for the effective and responsive running of the Fundamentals of Care office by providing comprehensive, efficient and high quality administrative services. This will involve prioritising and organising the day-to-day workload, while maintaining confidentiality of information throughout the full range of duties involved. The post holder will implement and maintain and ensure that coherent systems/databases to facilitate the management and analysis of clinical practice processes, using a variety of software programmes including Word, Excel, Zoom, Teams and Forms. The post holder will have the responsibility of maintaining all training databases and sharing information with the relevant members of the team. The post holder will be required to liaise with staff within and external to the organisation as appropriate, to share information and coordinate activities. The post holder will carry out duties in a confidential and discreet manner.Working for our organisation St George's, Epsom and St Helier University Hospitals and Health Group cares for a population of four million people in South West London and North East Surrey. Our sites include St George's Hospital, one of 11 major trauma centres in the UK and the largest healthcare provider and major teaching hospital in the area; St Helier Hospital, home to the South West Thames Renal and Transplantation Unit and Queen Mary's Hospital for Children; and Epsom Hospital, home to the South West London Elective Orthopaedic Centre (SWLEOC). After years of collaboration, our two Trusts became a hospitals group in 2021. While remaining as two separate Trusts, being a hospitals group will help us to collaborate more closely on research, and the development, education, and training of our 17,000-strong workforce., · To project manage Fundamentals of Care Team events, including; to create promotional material, organise venues and liaise with external partners · To work closely with Care Quality Systems Administrator to ensure timely dissemination of information across services · To support the promotion of Fundamentals of Care services across the hospital and community services · To take minutes at the appropriate site and group meetings chaired by the Director of Nursing - Fundamentals of Care · Plan and organise meetings, which includes developing agenda's, preparing and distributing papers; take and produce minutes and follow up agreed actions · To produce and distribute minutes from meetings · Type and word process documents to a high standard, identifying and amending errors efficiently · Responsible for coordinating the information required for the Fundamentals of Care Team's e-bulletin · Organise diary management and coordinate and book arrangements for the Group Director of Nursing - Fundamentals of Care · Prepare, retrieve, select and collate papers as required for meetings and information sharing purposes · Responsible for maintaining and continuously updating the Fundamentals of Care Teams Intranet Page and liaising with the Communication department to ensure that relevant information, forms and policies and procedures are uploaded to the appropriate Portals. · Provide day to day administrative support to the Group Director of Nursing - Fundamentals of Care; provide administrative support to the team as required · Manage and be accountable for the Fundamentals of Care Team resources · To exercise initiative and judgement based on acquired knowledge and experience when dealing with enquiries · Input and look up data on Trust IT systems in accordance with Trust policy · Analyse and extract complex data sets from a number of different sources · To assist colleagues as directed by the Manager, in times of pressure of work · Co-operate in the introduction of new technology and new working practices to ensure the smooth running of the department · Photocopying, scanning and filing letters/documents as required · Support in maintaining the Fundamentals of Care Teams generic emails and refer any queries as deemed necessary · Plan and organise own workload to ensure any deadlines linked to the role are met · Arranging meetings internally and externally, assisting in the production and proof reading of reports · To prioritise workload and work unsupervised as and when necessary · To successfully use/manage electronic mail for self and Fundamentals of Care Team as appropriate, setting up new files on system as and when necessary · To maintain ordering of stationery or other items requested by the teams, checking deliveries and distributing appropriately · To manage the systems and databases required to collate data for and run reports as required · To participate in producing the statistics collected into annual reports, quarterly reports and other reports required for the Fundamentals of Care Team · To manage the complex filing systems required for the safe handling of data for the Fundamentals of Care Team · To be responsible for ensuring uploading of relevant policies/procedures on the Trust webpage · Support the Fundamentals of Care Team promotion events and lead where required
