Full Job Description

We are looking for a flexible and motivated individual to act as Governance and Executive Support Officer. The role will primarily support the Governance and Executive Support Manager and the Executive Team to ensure smooth running of the Trident Board and wider Association business including corporate governance and performance reporting processes. The Officer will work with colleagues across the organisation to assist with range of governance activities and will assist with identifying and delivering opportunities to improve the effectiveness and efficiency of our work. Candidates will need to have experience of working in an office environment providing corporate support. This includes experience in minute taking, drafting reports and emails, etc, as well as an awareness of corporate governance, and reporting processes. You will need to be competent in Microsoft products and ideally will have a knowledge of web-based knowledge applications. This is an exciting opportunity for the right individual to grow their skills and become a key member of a small and friendly team. Key Areas of Responsibility:

  • Provide professional support to the Governance and Executive Support Manager and the Executive Team to ensure the smooth running of board and committees and corporate and performance reporting processes within the Group.
  • Keep abreast and deliver against key internal corporate governance deadlines and plans work accordingly.
  • Maintains a list of corporate governance actions and ensures these are cascaded, delivered and reported on as appropriate
  • Works efficiently to produce minutes, notes / follow-up emails and deliver on tasks arising from corporate governance meetings.
  • Takes meeting notes, Minutes, drafts emails and updates corporate registers as appropriate.
  • Provides flexible office support to the wider Team
  • Assists with general office / administrative duties (undertake photocopying, filing, record keeping and other administrative tasks) as required.
  • Understand the sensitives of working in an impartial political environment and puts in place strategies and approaches in line with this, maintains high level of confidentiality
  • Organising and supporting board/committee meetings.

    A high-performing administrator with a proven track record of providing high- quality governance and business management support to Boards and Committees. You will be able to quickly build effective relationships to work confidently with, and provide trusted and reliable advice and support to, key stakeholders including Board and Committee members and the Executive Team. You will understand the needs of the business and have strong communication skills with a 'can do' attitude and appetite for solving problems. You will be able to work to tight deadlines, deal with the unexpected and have excellent attention to detail. Experience of working in a Secretarial or Governance team preferably within a not-for-profit, public body or charity. Have experience of providing high-quality customer-focused corporate governance support to Boards and/or Committees to include: preparing agendas in line with business priorities and governance requirements; drafting, commissioning, reviewing and editing papers and reports; briefing paper authors and attendees; preparing high-quality minutes; circulating and tracking actions arising from meetings; monitoring conflicts of interests; facilitating recruitment, induction and training for members.
