Full Job Description

Reporting into the Operations Oversight Manager, the aim of the role is to support line management to maintain and manage a working relationship with our outsourced service providers. The role will incorporate analysing and delivering the required management information and oversight. It will also involve reviewing service levels, with a particular focus on establishing, maintaining, and ensuring the HCUK operational activities are conducted in line with our own Oversight Strategy and linked with the FCA's SYSC 8.0 requirements., 1. Strategic Planning

Assist the Operations Oversight Manager in developing HCUK's Operational Oversight Strategy, with specific focus to ensure Operational Risk and Conduct Risk considerations are at the forefront of all our decisions. Ensure that all activity has a clear audit trail which can be evidenced to internal and external auditors or regulators.

2. Operational Planning

Based on the documented and agreed strategic plan, work with line management to develop an annual activity plan outlining timings and high-level deliverables for Operational Oversight. Look at opportunities to enhance our customer experience.

3. Budgetary Control

Under the direction of line management, manage the day-to-day delivery of agreed activity in line with prescribed budgets, through ongoing review and monitoring of operational activities, goodwill, and compensation payments.

4. Relationship Management

In conjunction with line management, assume day-to-day responsibility for developing and maintaining an ongoing relationship with all key stakeholders, establishing appropriate oversight of their processes and service levels with the aim of ensuring a clear level of outsourced oversight is in place, that would meet the requirements of external regulators.

5. Stakeholder Management

Establish a sound working relationship with internal and external stakeholders to help optimise HCUK's business offering and performance and to ensure appropriate communication channels exist across all business functions and partners. Liaise with HCS's Operations Department and any other relevant departments of HCS (and related group companies) and support line management with all control related activity.

6. Analysis & MI

Display a good insight and the ability to formulate action plans and recommendations based upon interpreting data. Must be capable of analysing multiple complex data sources and presenting clear, timely and appropriate recommendations to internal and external stakeholders to ensure Operations Oversight is being applied correctly.

7. Risk Management

Carry out risk identification, assessment, and communication activities through the analysis of data reports and through the alignment of policies, processes, and quality assurance checking. Highlighting trends and recommending remedial action as required.

8. Technical knowledge and business knowhow

The role requires a good understanding of the FCA's handbook, HCUK policies and awareness of all relevant legislation and market best practices and ensure a sound understanding exists of the business processes and modus operandi of the organisations' outsourced service suppliers.

9. Insight and continuous improvement

Working in conjunction with HCUK's & SCUK's internal business functions, business partners (OEM and Dealer) and through utilising appropriate insight (industry, business, customer and technological etc.), drive continual improvement and help to differentiate HCUK's operational offering in order to generate added value to the organisation's Customers, OEM partners and Dealers.

10. Risk and Compliance

In line with the company's risk and compliance statement of responsibility and objectives, identify risks, incidents, and breaches, in accordance with company policies and department procedures. Adhere to HCUK policies and processes with regards to personal conduct and ensure that services are provided in a compliant manner and are aligned to the organisation's overall values.

11. Governance and Regulatory

Ensure all activity is carried out in conjunction with HCUK's governance framework and in line with regulatory business principles including Consumer Duty and the delivery of good customer outcomes. This includes the development of several monthly governance packs, which cover Operational and Conduct Risk, together with outsourced services oversight (SYSC 8.0).

12. Other

Carry out any other tasks from time to time as may reasonably be requested.

Must be capable of providing significant input for developing coherent high-level plans as well as detailed project/programme level plans.

Must display sound time management skills by delivering activity within prescribed timeframes through the effective prioritisation of actions across multiple projects and on-going programmes.

Must be capable of delivering accurate and clear information on a regular basis in line with policies and procedures.

Knowledge & Experience

Given the scope of this position it is essential that the job holder has and can display experience and knowhow as detailed below:

  • Must have general industry experience gained through working in various business functions at an operational level.

  • A solid understanding of operational and conduct risk principles and is well versed in the area of financial services operations including:

  • + Service processes and provision
    + Related sales processes and channels

  • A general knowledge of regulated and compliant business environments and the control thereof

  • Ideally worked within motor related financial services or as a minimum worked within an associated service sector

  • Experience of working in an operational services environment, where multiple functional and stakeholder management was common or where exposure to an international as well as domestic business operation existed.

  • Can produce high quality working documentation, including business case proposals, BI dashboards & reports, and business presentations.

  • An appreciation of legal, regulatory and compliance issues relating to the use of customer data and is familiar with the Financial Conduct Authority and the principles encapsulated within Consumer Duty.


  • In addition to the above it is expected that any candidate is able to display a good understanding of the general market sector, can exhibit sound business acumen, has excellent interpersonal skills and is comfortable and confident when dealing with senior management.

  • HCUK employees are currently hybrid working [mixture of home/ office]. HCUK's head office is in Reigate, Surrey.

  • This position may require domestic travel from time to time.
