Full Job Description
We have an exciting opportunity which has arisen in the Head and Neck Directorate for a rota co-ordinator 37.5 hours per week Monday to Friday.
This role provides an opening for enthusiastic individual who wishes to broaden their horizons in managing administration. The position requires an individual who puts the patient first and seeks opportunities to develop the service and themselves in order to improve systems and processes to meet Trust targets and values., Accountable for the maintenance of high-quality, effective and flexible centralised electronic rota for medical staff across UHSussex sites and for working in collaboration with third party sites in this regard to ensure efficient functioning of the Departments in terms of medical cover.
Provide technical support for rota management and engage in discussions regarding improvements and amendments.
To ensure the 8 week rolling cross site rota for medical staff is up to date, accurate and disseminated electronically to include reviewing the rotas and processes on an ongoing basis. To establish systems for ease of access and planning.
To oversee that all clinical duties are covered including, for example, theatre sessions, outpatients surgical procedures, outpatient activity, on-call, trauma cover, to enable delivery of the clinical services, escalating any uncovered sessions with the Patient Access Manager, Operations Manager/Principal Lead Clinician (or designated deputy). Set up systems as early warning signals to flag up where cover is not provided and to ensure monitoring of fair internal cover in times of absence, to include offering advice and support to consultants on the production of the rota.

We look forward to receiving your application and the start of your journey with UHSussex., · To communicate highly complex information (e.g. communicating a change to hospital policy, reduced theatre lists or staff numbers etc.) to other departments within the hospital; overcoming significant barriers using a high level of interpersonal and persuasive skills.
· To act as rota and absence management administrator and to attend relevant meetings and courses to discuss current and future issues
· To implement changes to policies, procedures, upgrades and functionality in area of responsibility.
· To train administration staff on relevant system to ensure accurate capture of absence and clinical duties and ensure correct data input on the system, as defined by local protocols.
· To attend meetings relevant to the role of rota co-ordinator.
