Dartford & Gravesham NHS Trust has an exciting opportunity for a Health Records Operational Support Officer to join the Trust's Health Records Scanning Bureau Team on a permanent basis. This post within the department will be integral to assisting the Deputy Operational Health Records Manager in maintaining the eHR (Electronic Health Records) service across Dartford and Gravesham sites., The post holder will be responsible for supporting the Deputy Health Records Operational Manager in all aspects of operational management of the Health Records department, working across sites where necessary but based at Darent Valley Hospital.
The post holder will carry out supportive functions such as overseeing implementation of agreed plans within the department; planning and allocating team workloads where needed; coordinating staff and adjusting workloads; compiling and submitting required reports; and ensuring training is given to ensure staff are able to be allocated work in any of the areas of the scanning bureau.
The role will contain a large element of unpredictability as the post holder will be required to support the Deputy Health Records Operational Manager with any issues that arise in the department, either regarding staff or processes and procedures. Whilst largely office-based with daily frequent VDU use, the role will also involve moving and handling of case notes in boxes, crates and on trolleys.
The role will involve mini-audits on a daily and weekly basis with documented feedback which will inform the yearly BSI audit (for Scanning) and support with providing reports to the Information Governance Committee (for Subject Access Requests).
The successful candidate will have demonstrable knowledge and experience of electronic and non-electronic health records functions as well as experience overseeing multiple teams whilst also supporting on several projects at any one time. We are also looking for a candidate who has an understanding of Health Records related BSI accreditation. A working knowledge of the Allocate Healthroster system would be advantageous as well as previous experience line managing a team.
The Trust started its transition to Electronic Health Records with an in-house BS1008 accredited Scanning Bureau in 2015.
