Full Job Description

We are looking for an outstanding candidate to join our Business Support team as a Health & Safety, Admin& Facilities Manager on a temporary basis to cover Maternity Leave, for a minimum of 12 months, potentially longer.

This position has a triple function, predominantly managing all H&S concerns for the company, including facilities and building maintenance, with the assistance of a Facilities Coordinator, whilst also overseeing the reception area with the assistance of a fulltime Receptionist.

Due to continued growth, we are in the process of an exciting relocation to bigger and better premises. We are therefore looking for an experienced and adaptable H&S Manager to join us at this exciting time and help us with this transition.

What will you do?

As our H&S, Admin & Facilities Manager you will report directly into our Managing Director and be responsible for two direct reports, our Facilities Coordinator and Receptionist. Possessing an up to date H&S skillset and sitting on our H&S Committee, you will be the designated responsible person for all aspects of Health & Safety, ensuring the health and safety of all our employees, stakeholders and visitors.

Main Responsibilities

  • Schedule and create agendas for H&S Committee Meetings (quarterly). Take minutes and distribute to committee members.

  • Keep abreast of relevant changes in H&S law and guidelines and propose any necessary changes to H&S Policies, Risk Assessments and Method Statements to the H&S Committee.

  • Update H&S policies, Risk Assessments, Method statements, and process documentation, when there are changes to company processes or British Law in consultation with Citation Ltd, Company Directors and the H&S Committee.

  • Schedule annual H&S Audit and Fire Risk Assessment Safety Audit with H&S advisors Citation Ltd. Action any resulting recommendations from these audits.

  • Action any safety recommendations from insurers, landlord or local authority.

  • Liaise with our Crew Logistics team to issue bespoke H&S documents for tours and events to the production managers.

  • H&S onboarding for new employees.

  • Conduct H&S inductions to new employees, visitors, contractors and subcontractors.

  • Inform senior management of any H&S/ First Aid incidents, including our Financial Director in case insurers need to involved. Review incidents with the Warehouse Management and Directors and update relevant risk assessments if necessary. Keep records of all such incidents up to date on software platform.

  • Report any serious incidents to RIDDOR and Citation Ltd.

  • Manage all aspects of fire safety requirements.

  • Arrange external training when required and maintain up to date record of all external training.

  • Maintain up to date record of all in house training.

  • Maintain the first aid supply cupboard, take regular stock checks and restock when required.

  • Issue PPE and maintain inhouse stock levels of all PPE.

  • Keep up to date files of Material Safety Data Sheets for COSHH. Conduct annual stock check of all chemicals on site.

  • Ensure safety notices are adequate and in place and valid Company Insurance Certificate is displayed.

  • Work closely with the Warehouse Managers to ensure safe ways of working are maintained and improved.

  • Oversee building management requirements working alongside the Facilities Coordinator.

  • Oversee the reception area working closely with the Receptionist.

  • Staff management responsibilities for two direct reports - including absence and holiday management, performance reviews, providing cover when one member is off, perform regular 1-1's and team meetings.

    We are looking for an experienced H&S Manager who is up to date and well able to manage and implement all our H&S requirements in a busy Warehouse environment. You will be a well presented, professional individual, who is great with people. Someone who is adaptable, self-motivated and has a passion for keeping people safe.


  • What skills and experience do we want?
  • At least 2 years' experience of working in a similar role.

  • Experience of managing people.

  • Coming from a busy warehouse environment would be desirable.

  • Experience of facilities and buildings management would be advantageous.

  • Strong written and verbal communication skills, with excellent attention to detail.

  • Aptitude for IT, with proficient knowledge and skills of Microsoft Office.

  • Ability to organise and prioritise own workload.

  • A degree or equivalent qualification in Applied Health & Safety, Environmental Health or Occupational Safety and Health would be advantageous.

  • Previous experience of working with Citation and their software platform Atlas would be advantageous.

  • Experience of being involved in a relocation is desirable.

  • Experience of negotiating SLA's.

  • You must be eligible to work in the U.K.
