Full Job Description

Location: NE1 4LP (Victoria Royal Infirmary)

Salary: £21,500 - £25,000

Work Hours: 33-hour week | Monday - Thursday 15:00 - 21:30 | Sunday 2:30 - 21:30

Contract: Full time | Permanent | ON SITE

Role Overview: We are looking for a self-motivated, friendly, and passionate individual to join our team as an FM Helpdesk Co-Ordinator. You will be the primary contact for internal and external queries during night hours, managing tasks via telephone and email, logging and allocating tasks using our CAFM system, and ensuring service levels are met.

Key Responsibilities:

  • Log and allocate reactive tasks on the Concept CAFM system.

  • Assign work orders to technicians and monitor workload.

  • Raise and receipt purchase orders.

  • Generate and analyse reports on job trends and performance.

  • Respond to emails and perform general office duties.

  • Build and maintain strong relationships with clients and team members.

  • Track and manage progress to meet SLAs and KPIs.


  • Essential Qualifications:
  • Minimum 1 year of experience in a busy office environment.

  • Experience in work allocation and live monitoring of workloads.

  • Ability to work towards strict timescales and SLAs.

  • Basic knowledge of hard FM services.

  • Excellent written and verbal communication skills.

  • Strong IT skills, including Microsoft Office.


  • Desirable Qualifications:
  • Experience using a CAFM system (preferably Concept).

  • Basic knowledge of PFI contracts.

  • Advanced Excel skills.

  • Comfortable with multiple systems.
