Full Job Description

Overall Objectives of the Post:

  • To be responsible to the Property Services Manager for providing a high quality administrative and support service to Property Services.
  • To assist with the efficient and effective operation of services provided by Property Services.
  • Key Tasks of the Post: You will provide an effective and confidential administrative support service for the Property Service Team, that covers; 1. Developing and maintaining efficient and user friendly administrative, filing and electronic systems (including system housekeeping tasks). Organizing, attending and producing accurate minutes for a range of meetings, whilst maintaining a high degree of confidentiality for all information handled. 7. Co-ordinating the collection of incoming/outgoing correspondence, ensuring urgent matters are promptly referred and dealt with. 8. Raising and completing invoices and recharges when required, this also includes the raising and claiming of job tickets as appropriate. 9. Booking conferences, travel and accommodation as needed and arranging staff conferences and briefings when necessary. 10. Arrange Buffet's and functions as required. 11. Pursuing progress on complaints and specific documents/issues and requests for information 12. Ensuring that all queries are dealt with professionally and ensure that the matter is resolved or forwarded to the relevant person. 13. Being proactive in producing and following up actions relating to decisions made and actions agreed. 14. Is self-motivated and able to manage your own time undertaking relevant tasks and activities without always having to be asked while demonstrating a positive attitude and approach to work. Presenting a positive, courteous, polite and professional image of self and the service. 11. Co-ordinating, preparing and arranging for the dispatch of agendas and reports and providing efficient word processing, minute taking & typing. 12. Intercepting mail on behalf of Property Services and filter out to staff as appropriate and ensure follow up. 13. Produce documents for the Property Services team as required including but not exclusive of; letters, memo's, graphs, etc. 14. Receive guests to the building and telephone calls on behalf of the Property Services colleagues and managers in a friendly, helpful and polite manner, to give the best possible impression of the service at all times 15. Liaising with members of South Tyneside Council as appropriate, initiating good working relationships with a wide range of colleagues, internal and external partners and stakeholders to deliver excellent services 16. Assisting with the implementing new procedures and administrative systems and providing a range of general advice and support as required. 17. Ensure the record and data management systems within the service are maintained to high standards to enable staff to carry out their duties effectively and ensure customers experience a high quality service. 18. You will provide a professional administrative service to internal or external customers at all times. 19. Ensure the provision and maintenance of resources, including office supplies to minimise waste and maintain the effective operation of the service area. You will be responsible for contributing to a great team. You must: Work as part of the Property Services Team helping and supporting all colleagues in the delivery of excellent services. Be responsible for keeping Managers and Colleagues well informed so that work is co-ordinated across the service. Develop professional relationships and share good practice with Colleagues, Managers and Members to aid communication and consistency. Comply with the organisations commitment to Equality and Diversity in the delivery of all services. You will be responsible for making a corporate contribution. You must: Understand and contribute towards the Corporate Strategies and priorities of both South Tyneside Homes and the Council. Contribute towards ensuring that all operational activity and resources are geared towards delivering a Value for Money service. Be aware of and work within the budgets available. Participate and contribute with a view to ensuring the organisations commitment to continuous improvements All employees have a responsibility to undertake training and development as required. You are expected to have a flexible approach to your working hours which may include attending some out of hour's meetings. This role is Part time -18.5 hours per week
