Full Job Description

The HR Assistant will support the Human Resources department in various administrative and clerical tasks. This role is crucial in ensuring that HR operations run smoothly and effectively. The ideal candidate will be highly organised, detail-oriented, and capable of handling confidential information with integrity., 1. Administrative Support:

· Document Management:

o Organise and maintain personnel records, ensuring they are up-to-date and easily accessible.

o Manage digital filing system for employee documents.

· Correspondence:

o Draft and distribute HR-related communications such as memos, emails, and newsletters.

o Handle incoming calls, emails, and other correspondence related to HR inquiries.

· Office Coordination:

o Order and maintain inventory of office supplies, consumables and refreshments for the Head Office.

o Coordinate HR projects, meetings, and training seminars, ensuring all logistics are handled.

2. Recruitment and Onboarding:

· Job Postings:

o Write and post job adverts on various job boards and company websites.

o Track and manage responses to job postings, ensuring a timely review of applications.

· Interview Coordination:

o Schedule interviews between candidates and hiring managers, sending calendar invites and confirmations.

o Prepare interview materials and coordinate interview logistics.

· New Hire Onboarding:

o Prepare new hire paperwork and ensure completion of all required documents.

o Conduct initial orientation sessions to familiarise new employees with company policies, procedures, and culture.

o Set up new employee workstations and provide necessary access to company systems.

3. Employee Relations:

· Inquiry Response:

o Serve as a point of contact for employees regarding HR policies, procedures, and programs.

o Address and resolve employee inquiries and requests in a timely manner.

· Employee Support:

o Assist in resolving employee conflicts and grievances by providing support and information.

o Facilitate employee engagement activities and events to promote a positive workplace culture.

4. Payroll and Benefits:

· Payroll Assistance:

o Collect and verify timesheets, ensuring accuracy before payroll processing.

o Assist with payroll-related inquiries and discrepancies.

5. Compliance and Documentation:

· Policy Implementation:

o Assist in the implementation and enforcement of company policies and procedures.

o Ensure compliance with labour regulations and company policies, updating documentation as needed.

· Record Keeping:

o Maintain accurate and confidential employee records in compliance with regulatory requirements.

o Prepare and submit mandatory reports to regulatory bodies as required.

6. Training and Development:

· Training Coordination:

o Organise and schedule training sessions, workshops, and seminars.

o Prepare training materials and resources.

· Tracking Development:

o Maintain records of employee participation in training programs.

o Monitor and report on training outcomes and employee progress.

7. Performance Management:

· Performance Review Support:

o Assist in the preparation and distribution of performance appraisal forms.

o Coordinate performance review meetings and track completion of reviews.

· Employee Development:

o Support the HR Manager in identifying training needs based on performance appraisals.

8. Health and Safety:

· Workplace Safety:

o Assist in the development and implementation of health and safety policies.

o Coordinate safety training sessions and maintain records of compliance.
