About the role:

We are seeking a dynamic and highly organized HR Coordinator to join our team. The ideal candidate will support the HR Director with administration and take responsibility for the day-to-day HR operations support for the office. They will also provide comprehensive HR support, ensuring smooth and efficient office functions and fostering a positive work environment. This role requires a proactive individual with excellent communication skills and the ability to multitask effectively in a fast-paced setting. 


Responsibilities:

  • Assist with the recruitment process including scheduling interviews, and Applicant Tracking administration
  • Facilitate the onboarding process for new employees including preparing onboarding materials and scheduling orientation sessions
  • Administer HR-related documentation, such as contracts of employment, contractual change letters, offboarding interviews and documentation
  • Maintain and update employee records, using the HR Information System (HRIS), ensuring accuracy and confidentiality
  • Take responsibility for handling employee initial inquiries related to HR queries including benefits, and policies
  • Support the implementation and management of HR programs and initiatives
  • Coordinate training sessions, workshops, and employee development activities
  • Assist in handling employee relations issues, providing support as needed
  • Assisting with internal and external inquiries and request relating to the HR department
  • Assist with employee wellness and social activities
  • Track probation review dates and send reminders of upcoming probations to the line manager to ensure review meetings take place before the due date, escalating to the HR Director if a probation extension is required
  • Assist with the updating the organizational chart with details of new starters, leavers and promotions
  • Provide general administrative support, including managing calendars, scheduling meetings, and handling correspondence
  • Organize company events: coordinate and organize meetings, conferences, and any necessary travel arrangements for staff (e.g. taxi’s) and maintaining the Company travel calendar
  • Responsible for maintaining office supplies (to include office equipment, stationary, milk deliveries, kitchen supplies and toiletries), equipment, and facilities
  • Management of meeting room bookings, liaising with all relevant parties to confirm any requirements (e.g. lunch or refreshments) and meeting room preparation

Qualifications:

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proven experience in office management and HR support roles
