Full Job Description

Information Management are responsible for providing support and advice for all areas of Surrey Police on all matters of information management. The team identify, develop and recommend processes for creating, collecting and sharing information and knowledge, in order to ensure existing processes are as streamlined and efficient as possible. The role includes working with all types of departments and IT staff to recommend and develop appropriate information architecture and filing structures, to assist users in their daily working, sharing of documents, accessing specialist information and understanding of records. As well as this, working as part of a team to administrate SharePoint and other Records Management Solutions by working closely with users, project personnel, IT staff and suppliers, to develop requirements, test, ensure documents are migrated, and other tasks as required, to deliver an effective working document and records environment. A key element of this role is responding to third party requests from external organisations to Surrey Police for disclosure of information. As part of the role you will be responsible for:

  • Researching, reviewing, analysing and reporting on information management and assurance issues and identifying trends to improve compliance with information governance standards, including Data Protection Act 2018.
  • Responding to data sharing requests made by external agencies such as local councils, statutory agencies and other Police forces.
  • Ensuring the standardisation of information collation through to retention. Also ensuring access and use of the records and documents are appropriate and legal and are retained and available to support current and future business objectives.
  • Being aware of emerging information and knowledge thinking in order to assist the development of the wider Information Management work within the force.
  • Conducting reviews on Information Management practice across the Force in order to produce coherent comprehensive reports. Cultivate relationships with these stakeholders in order to raise awareness and proactively contribute to improving the force's adherence to Information Management standards.
  • Acting as a point of contact for Information Management Collaboration by liaising with counterparts from Neighbouring Forces, sharing and developing best practice.
  • Maintaining and producing performance information, records and spreadsheets (using a broad spectrum of IT systems and applications) in support of information management business areas.
  • Contributing and participating in the creation and delivery of guidance, training and operational procedures surrounding information management for the force.
  • Providing an effective service to internal and external customers on all information management related activities, solving related problems, providing recommendations and outcomes to resolve issues and mitigate risks.
  • Undertaking other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post.

  • Good knowledge of technologies including Microsoft SharePoint.
  • Proven and well evidenced ability to influence and create good relationships with people.
  • Excellent planning and organising skills and a proven ability to work under pressure, dealing with conflicting demands in order to meet agreed deadlines.
  • Experience in dealing with situations / deviations from normal office routine and the ability to problem solve and provide suggested resolutions quickly and effectively in order to mitigate risks or maximise opportunities.
  • Good understanding of the principles of information and knowledge management, and of document and records management.
  • Good understanding of business processes in organisations, particularly as these relate to information and knowledge.
  • Demonstrate an appreciation of end-user awareness with respect to developing systems and processes.
  • Possess well developed written skills, demonstrating the ability to produce clear, concise and accurate documentation.
  • Possess the ability to work on one's own initiative and experience of working under minimal supervision.
  • Possess good organisational and time management skills with an ability to work calmly and precisely under pressure as well as to tight deadlines.

  • Qualification in Information Handling or Criminal Justice, or have demonstrable experience.
  • Have previous experience of working in information or knowledge management.
  • Have previous experience in data processing.
