Full Job Description

Perkins Coie is seeking a qualified, dynamic candidate to take on the role of Information Governance Analyst. This position, under the direction of the Information Governance Manager, will be responsible for implementing, maintaining, and supporting the department's strategy through adherence to policies, standards, principles, and procedures in alignment with the firm's initiatives.

This position will support other Information Governance efforts including executing performance objectives, recommending acceptable performance levels, collaborating on projects with other departments throughout the firm, and providing guidance to ensure compliance with legal, regulatory, and operational requirements and standard operating procedures.

ESSENTIAL FUNCTIONS

These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.

  • Independently prioritize & accomplish multiple tasks in a fast-paced, deadline-driven and detail-oriented work environment.

  • Implement and support Information Governance policies to ensure compliance with the firm's legal obligations, operational requirements, and risks. Provide guidance and training to attorneys and staff as necessary.

  • Identify and present solutions to support the firm's objective of reducing the use/creation of physical hardcopy files.

  • Coordinate and/or perform scanning activities to ensure projects are completed timely and accurately.

  • Independently execute and coordinate Information Governance procedures for the collection, review, and release of electronic and physical records necessary to comply with client records transfer requests.

  • Coordinate and execute records collection and disposition processes related to attorney and staff departures.

  • Process and/or coordinate both physical and electronic records received through the onboarding of lateral attorneys or the transfer of incoming client files.

  • Coordinate and/or perform routine audits of physical record inventories.

  • Execute and coordinate processes for physical and electronic records disposition, in response to court-ordered document destruction or implementation of firm retention policies.

  • Collaborate with the firm's Legal Hold Counsel to ensure compliance with all legal hold processes, such as collections, terminations, and preservation orders.

  • Conduct analysis to advise on best practices for data management.

  • Generate, analyze, organize, and interpret reports by utilizing data accessible via Records Information Management software and other firm systems/reporting tools.

  • Ability to oversee projects and delegate tasks to Information Governance Specialists and other firm personnel as necessary.

  • Experience with records management systems and document management systems.

  • Proficiency with Microsoft software, specifically Outlook, Word, PowerPoint and Excel.

  • Experience with cloud collaboration systems such as Google G-Suite and Microsoft Office 365 to evaluate use of these environments, provide reporting on space content, and assist with content management.

  • Experience utilizing records management software and document management systems.

  • Experience with SFTP/FTP sites and encryption technology.

  • Knowledge of industry best practices and Information Governance.

  • Experience importing/exporting data to and from document management systems.

  • Ability to exercise discretion and maintain confidentiality of firm records and information.

  • Ability to work outside of normal business hours when necessary to meet the demands and needs of the firm.


  • SPECIFIC SKILLS PREFERRED
  • Experience complying with data residency and data transfer restrictions within a global organization.

  • Experience with workflow management applications such as ServiceNow.

  • Experience working with structured, semi-structured, and unstructured data.

  • Experience with the utilization of network file shares to organize data in compliance with Information Governance policies.

  • Ability to script in PowerShell or Python., Qualified candidates must have a Bachelor's degree in Business Administration, Computer Sciences, Information Management, or related field, as well as five years of work experience in legal Records Management, Information Governance or Data Management. Candidates with Professional Certifications in areas related to Information Governance and/or Privacy are preferred.
