Full Job Description

Legal Services is seeking an Information Governance Assistant to join our team. You will be responsible for providing support to all the Information Management part of the Legal Services team., You will join a dynamic a team of talented legal and information management professionals who thrive in a collaborative and supportive environment. Legal Services handles a very diverse and complex range of legal and information governance matters. You will mainly be providing support to the Information Management team in a wide range of information governance and records management activities to improve the university's compliance with relevant laws and establish university-wide good practice.,

  • Provide excellent service to the Legal Services Team and colleagues across the University when responding to any internal or external request for advice or information.
  • Assist with key aspects of the information management administration, including but not limited to maintaining case management systems, and information logs.
  • Assist with records management activities in all parts of the information lifecycle, including but not limited to the Information Asset Register and Record of Processing Activities (ROPA) as well as retention periods on systems, electronic files and physical files.
  • Assist with casework including data breaches, requests for information and requests related to the rights of data subjects.
  • Assist with the provision of data protection / information governance training across the University.
  • Assist in maintaining and monitoring systems to progress and chase information or requests to ensure resolution in a timely and legally compliant manner.
  • Provide support for the development and maintenance of corporate information, information governance policy, procedures and guidance.
  • Assist with auditing and improving of Legal Services Team communications.
  • Assist with providing advice relating to data protection and information management.
  • Plan, manage and prioritise own workload to ensure that deadlines are met, anticipating problems with achievement of objectives and either seeking help or resolving issues in a timely manner.
  • Play a full part in the Legal Services Team, maintaining knowledge of the work done by others and assisting and / or providing cover for them where necessary.

    Education to first degree level is desirable.
  • A high level of literacy and numeracy
  • Excellent IT skills including advanced knowledge of web-based solution, word processing, spreadsheet and presentation software packages, preferably Microsoft Word, Excel and PowerPoint.
  • Proficiency and experience of the General Data Protection Regulation, Data Protection Act 2018, and the Freedom of Information Act 2000 is desirable.
  • Experience of the Privacy and Electronic Communications Regulations (PECR) and Environmental Information Regulations 2004 (EIR) is desirable.
  • A recognised subject specific qualification / certification is desirable.
  • Experience in providing high quality customer service in a complex environment.
  • Experience in maintaining governance or other complex records accurately.
  • Experience in working successfully as part of a team.
  • Ability to communicate clearly and in appropriate language with third parties, students, and colleagues both orally and in writing.
  • Ability to understand and explain data protection and information governance concepts and guidance to third parties, students, and colleagues.
  • Ability to manage own time and workload.
  • Ability to work to statutory deadlines.
  • Excellent interpersonal skills with the ability to support, guide and inform as necessary.
