Full Job Description

As an Information and Records Management Advisor, you will work within a team of professionals, that forms part of the Group Data Team. This role provides support to the business on all aspects of information and records management with a strong focus on digital records management in a M365 environment), ensuring good practice is being adopted by our colleagues; adherence to information-related policies and guidance; information lifecycle governance is being applied across our estate and in both structured and unstructured environments and that we are working in a compliant way that satisfies our legal and regulatory obligations, including GDPR. You will be responsible for monitoring and reporting on information and record keeping practice across the Group; actively contributing to information and records related projects and initiatives which support the firm's strategic direction across our digital estate and particularly those involved in ensuring information lifecycle management processes are embedded across our estate. What You'll Be Doing

  • Support the Head of Information and Records Management in improving our maturity across the Group through the delivery of training and the creation of meaningful materials and guidance which promotes a more informed and consistent approach to information management practice.
  • Provide advice to the Group on the retention schedule and the application of retention dates against our information and records to ensure their retention and safe-keeping until their retention and business-need expires.
  • Provide support and guidance on our records management practices across the Group with a strong focus on digital ways of working.
  • Monitor the performance of Suppliers of archiving services including adherence to all service level agreements and provide insightful feedback in the supplier management meetings.
  • Develop monthly reports, which clearly demonstrate performance against our policies and good record-keeping standards in general across the Group.
  • Provide insightful feedback on the performance outcomes of those reports at team / Managerial level, including where improvement and / or remedial action is required to avoid potential loss of information, non-adherence to retention schedule or breach occurrence.
  • Contribute to the development and delivery of training programmes which ensure that high standards of compliance with Information Lifecycle Governance are being met and maintained across all levels of staff across the Group (including Microsoft 365 environments).
  • Support the Head of Information and Records Management to further develop the team Hub, ensuring that it provides one central location for all information and records management related content.
  • Lead the annual destruction review for our main Supplier of archiving services providing a detailed report of findings by Division to the Head of Information and Records Management for review and sign-off.
  • Liaise with other information professionals and champions to ensure alignment to IM Objectives.
  • Support both paper and digital projects and other change activities across the Group in relation to the introduction of and adherence to best practice for information and records and compliance with our policies.
  • Maintain and enhance your knowledge of the required industry regulations and requirements relating to information, records, and data.

    Experience of working in a multi-disciplined team in a medium / large organisation, preferably within a Professional services firm
  • Educated to Degree level or a related field with a focus on Information, Records Management
  • Experience of information management and governance in a Microsoft 365 environment, including Compliance related tools (e.g. Microsoft Purview).
  • Experience of information and records management standards such as ISO-15489-1, BS10008.
  • Experience of reporting on quality standards and performance.
  • Experience of successfully dealing with all levels of internal stakeholders.
  • Able to evidence excellent Client focus and empathy.
  • Evidences ability to review, propose and improve processes and reacts positively to change.
  • Evidences organisation, prioritisation and excellent communication skills, adapting the style of communication as necessary and ensuring it is understood.
  • Ability to absorb, understand and quickly assimilate complex information and concepts and compare information from different sources.
  • Enjoys working in a team and able to add value to the team dynamics, helping to achieve defined goals.
  • Good problem-solving skills and preference for action.
