Full Job Description

1. To allocate all eligible students to university residences in line with the Allocations policy, within specified timescales, using a computerised allocations system. 2. To deal with enquiries from students / other departments regarding the availability of university residences after the start of session. 3. To keep up to date with void rooms by liaising with the Residences Managers and allocating students to vacant rooms whenever possible to ensure full occupancy of the residences. 4. To keep up to date with student withdrawals and liaise with Residences Managers to ensure only registered students occupy rooms in university residences. 5. To process Amendment Forms as appropriate. 6. To produce allocation reports for the Residences Managers / Administration Manager as required, using the computerised allocations system. 7. To deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly. 8. To attend University Open Day events and Offer Holder events, presenting information and taking part in question-and-answer sessions as required, either in person or virtual. 9. To assist with the distribution of customer surveys, produce reports / action plans. 10. To assist in the production of relevant promotional materials and information documents, particularly intranet and web pages. 11. To collaborate with others in order to make recommendations for developments of established processes and procedures. 12. To establish working relationships with key contacts to continue to maintain/improve service levels. 13. To undertake a variety of administrative duties to support the team and department. 14. To abide by university policies on Health and Safety. 15. To ensure compliance with legal and regulatory requirements in respect of equality and diversity, data protection, copyright and licensing, security, financial and other University policies, procedures and codes as appropriate. 16. To work additional hours (evenings and weekends) to meet the operational requirements for allocations, arrivals and open days etc. 17. You may be asked to perform other duties occasionally which are not included above, but which will be consistent with the role.

1. NVQ 2/GCSE level A-C in English or equivalent 2. Significant experience of working in an administrative or office environment 3. Proficient in using common office IT packages (Microsoft Word/ Excel/Access and internet & email) 4. Ability to communicate effectively and professionally with a wide range of people 5. Ability to work as an effective team member, providing advice and guidance to other team members where necessary 6. Proven ability to deal with escalated requests for information or service, resolving customer complaints where appropriate whilst ensuring compliance with standard procedures and practices 7. Proven ability to work unsupervised, planning, prioritising and organising your own workload within established time scales 8. Ability to use initiative in solving problems and responding to queries ensuring compliance with standard procedures and practices 9. Ability to set up and follow standard administrative procedures/standards and evidence of working to a high level of accuracy and attention to detail 10. Residences manages accommodation places for approximately 5,500 students, both catered and self-catered. In terms of catering, there are cafés and restaurants conveniently located across university campuses, in addition to a delivered hospitality service. Cardiff University Sport exists to provide students and staff with a balanced, high quality and integrated sport service which meets the needs of a broad range of users. The Nursery offers facilities for children aged between 10 weeks and 5 years and is divided into sections appropriate to the ages and development of the children. Both residential and catering facilities are utilised for conferences and functions during the University's vacation periods. A purpose built and designed conference centre and conference facility is also available throughout the year. The Campus Services operation is supported by its own central administration functions covering the allocation of residences, human resource and quality, purchasing, facilities, finance, and general administration.

University residences provide accommodation to approximately 5,500 students across the university. We are committed to providing a professional, customer focused service to a diverse range of people. The successful candidate will be enthusiastic, driven, reliable and capable working as part of the Administration Team, dealing with student room allocation, customer enquiries and providing general clerical support within the Administration Team. This is a full-time post, 35 hours per week, initially fixed term post until 31 October 2025. Starting Salary: £24,600 per annum (with annual increment points up £25,433 per annum - Grade 3).
