  • Manage and coordinate Senior Leaders calendars, both individual and project specific, along with scheduling meetings for the studios and their corresponding logistics.
  • Schedule external meetings and have overall responsibility for the set-up and cleaning of meeting rooms, alongside video conferencing, preparation of food and beverages and hosting clients on arrival.
  • Prepare complex travel arrangements and documentation including visa applications when necessary.
  • Provide Reception assistance including answering all incoming telephones calls to the main number and enquiries to the general office inbox.
  • Provide support for document preparation including; printing, copying, scanning and binding, and manage delivery and shipping coordination with external vendors.
  • First point of contact with clients/visitors to ensure they are assisted properly when necessary.
  • Point of contact for general administrative support to the office in preparing business correspondence, managing incoming and outgoing post including arranging couriers.
  • Assist senior Admin colleagues as needed.
  • Maintain contact databases.
  • Prioritisation of workload by level of urgency. Ensure the day-to-day tasks are well organised and efficient.
  • Perform other support tasks as needed, including weekly timesheets, expense reports and credit card reconciliation.
  • Actively participate and contribute to the office culture.

    1-2 years experience as an administrative professional.
  • Demonstrates highly proficient interpersonal, written and communication skills.
  • Possesses organisational and technical skills as well as the ability to anticipate the needs of their Managers.
  • Strong computer skills using Microsoft Office and Google Suite.
  • Demonstrable experience of complex travel arrangements.
  • Previous experience in an architecture/engineering firm is highly desirable
