Full Job Description

The Junior Proposal Coordinator and Recruiter will play a crucial role in supporting Zinc's proposal development process and recruitment efforts for UK and US-funded development and security projects. This position requires strong organisational skills, attention to detail, sharp analytical thinking, clear and compelling written work, and the ability to work in a fast-paced environment. The position will be based in London.

What you'll be doing…

1. Proposal Coordination (60%)

a) Assist in the preparation and submission of concept notes and proposals to clients including FCDO, USAID, and DOS.

b) Coordinate with Zinc strategists, costing analysts, and program managers to gather information and inputs for concept notes and proposals.

c) Maintain concept note and proposal calendars and track deadlines.

d) Format and edit proposal documents according to client guidelines.

e) Manage proposal-related files and ensure proper documentation.

f) Support the creation of visual aids, charts, and graphs for concept notes and proposals.

g) Coordinate with partners and subcontractors for concept note and proposal inputs.

h) Assist in quality control and compliance checks of concept note and proposal documents.

2. Recruitment (30%)

a) Source and screen potential candidates for project positions.

b) Maintain a database of qualified consultants and experts.

c) Coordinate with proposal teams to define job requirements for project positions.

d) Draft job descriptions and post job advertisements.

e) Conduct initial interviews and assessments of candidates.

f) Manage communication with candidates throughout the recruitment process.

g) Assist in the preparation of consultant contracts and agreements.

h) Support the onboarding process for new hires and consultants.

3. General Support (10%)

a) Assist in the development and maintenance of proposal and recruitment-related templates and tools.

b) Support knowledge management initiatives related to concept notes, proposals, and recruitment.

c) Contribute to the improvement of proposal development and recruitment processes.

d) Provide administrative support to the Business Development and HR teams as needed.

· Bachelor's degree in international development, communications, business administration, or a related field.

· 6 months to 2 years' experience in international development, proposal coordination, recruiting, or a related field.

· Strong written and verbal communication skills in English.

· Excellent organizational skills and attention to detail.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

· Ability to work under pressure and meet tight deadlines.

· Strong interpersonal skills and ability to work in a team environment.

· Willingness to occasionally work outside of regular business hours to meet proposal deadlines.

· Knowledge of communications and campaigning, media development, and/or information integrity is preferred.

· Knowledge of procurement processes, including those of the UK FCDO, USAID, and/or DOS is preferred.
