Full Job Description

We are seeking an experienced team leader with a passion for providing an outstanding customer service. You need to be a confident, effective communicator, able to build relationships across different service lines and business areas. You will be used to taking ownership of your team and their tasks, with a focus on quality and risk management. Committed to continuous improvement, you will be expected to review processes, identify efficiencies, and implement these through positive change management. The primary focus of this role is to support the groups in the delivery of administrative services and to provide day to day supervision of the Legal Support team. This role is full-time, based in our London office. THE TEAM The Cube are a centralised legal support team providing comprehensive 'on the floor' administrative support to Lawyers and PAs across the groups within our London office. The team carry out a wide range of tasks involving digital and hard copy document support such as printing, scanning, electronic filing, and bundle preparation; closing and archiving files; booking travel; completing expense claims; running comparisons, preparing outgoing mail and couriers. Tasks are assigned via a workflow management tool, working to specified deadlines to meet the needs of the business. WHAT TO EXPECT IN THIS ROLE The following list, whilst not exhaustive, gives a flavour of what you would be required to do in the role:

  • Identify and allocate appropriate level of resource to ensure the day to day needs of the business are met.
  • Manage absence and attendance across the team, forward planning appropriate cover and liaising with cross-site teams where needed to ensure sufficient levels of support.
  • Ownership of the workflow management tool, reviewing and prioritising tasks in line with SLAs and reporting on same.
  • Assist the Digital & Legal Support Manager with recruitment, selection and new starter processes.
  • Identify training needs across the team and facilitate where appropriate.
  • Assist the Digital & Legal Support Manager with the performance review process, conducting regular 1:1s and agreeing strategic objectives.
  • Promote the Legal Support provision across the Groups, building effective stakeholder relationships, seeking out new work opportunities and obtaining feedback.
  • Organise and lead regular team meetings and training events.
  • Be the subject matter expert on all tasks assigned to the team, ensuring best practice is documented and followed at all times.
  • Take responsibility for the ongoing management of files and filing areas including archiving and retrieval.
  • Work collaboratively with Office Services
  • Ensure the clear desk policy is adhered to, conducting regular audits and providing support to stakeholder groups where requested.
  • Provide training support in the use of relevant in-office hardware e.g., printers.
  • Adheres to the firm's risk and compliance policies and procedures and raises any issues or queries promptly with the immediate line manager.
  • Successfully completes, on time, all compulsory firm training.

    Have at least two years' experience (or equivalent) gained within a comparable environment and at an appropriate supervisory level
  • Be willing to work flexibly to meet client needs
  • Have proven experience of exemplary customer service
  • Be experienced in managing and prioritising a substantial and diverse workload within strict deadlines
  • Prior experience of working with document management / case management systems would be beneficial
  • Have a solutions-focussed approach
  • Be able to demonstrate a commitment to exceeding expectations and goals
  • Be a confident and consultative stakeholder manager, with evidenced experience of communicating effectively with internal and external stakeholders of all levels.
  • Have a strong working knowledge in IT systems, specifically across MS packages (Excel, PowerPoint, Word, Outlook etc.)
