Full Job Description

  • To provide an efficient and effective administration support function to the Finance department

  • Handling sensitive and confidential information, including data entry

  • Maintain manual and computerised records/management information systems

  • Undertake word processing tasks

  • File/store/record data and information in line with procedures

  • Administer and process enquiries, referrals and other requests in line with procedures

  • Use of various IT systems

  • Working flexibly as part of a team

  • Duties:
  • Reconcile GRN (Goods Received Notes) additions to outstanding invoices, identifying and chasing missing delivery notes

  • Review statements to ensure they are up to date, reviewing creditor report, chasing missing information including liaising with suppliers

  • Carry out Value for money checks on orders of reasonable value (e.g £500- £2,500). Perform independent review to see if the exact matching items can be purchased at improved value

  • Review orders over 2 months old on weekly basis

  • Mark and note reasons for delay in order/payment. Includes chasing order raised with departments and internally in department to understand any delay in process

  • Remove erroneous orders with details (stored to record)

  • Monitor the Finance inbox daily, dealing appropriately with queries, invoice printing and statements

  • In cooperation with Finance Officer carry out daily initial order processing

  • Identify any new orders that are contracts and add to the contract register, regularly maintain this register

  • Process invoices as required

  • Enter items on credit card on a regular (at most weekly) basis

  • Scan all documentation to system within a day of payment run being

  • actioned, attaching scans to PSF system and filing of physical documentation when processed
  • Assigning trips or resource payments to students on ParentPay

    Communication skills, IT skills, Attention to detail, Organisation skills, Problem solving skills, Administrative skills, Number skills, Analytical skills, Logical, Initiative, GCSE or equivalent 5 Subjects including English and Maths (Grade grades 9-4 (A-C)) Essential
