Full Job Description

We are looking for a highly motivated, enthusiastic Management Secretary to join our Service. We provide frontline mental health services to people who are suffering from a mental health problem on our Older People Inpatient Wards. The successful applicant will be reliable and able to provide a confidential, quality secretarial support to the Modern Matron.

A high standard of word processing is essential and you will be experienced in the use of Microsoft Word, Excel and Outlook. Knowledge of Electronic Staff Records (ESR) would be a distinct advantage. Attention to detail is essential and also supporting and mentoring colleagues. Applicants should have the ability to deal with people at all levels in a calm, polite and professional manner and should possess excellent oral and written communication skills.

Therolewillincludesupportwiththepreparationandcollation ofdataandstatisticsforservicereporting.

MainDuties/Responsibilities

CareGroupManagementandLeadershipTeamSupport

· Providecomprehensive secretarialandadministrativesupporttotheModern Matron as appropriate

· DealwithroutinecorrespondenceandtelephonecallsonbehalfoftheModern Matron

· DiarymanagementforModern Matronincluding proactivepreparationofdocumentsandpapers for agreed meetings as directed

· EmailmanagementfortheModern Matronasrequiredandagreed

· Toprovideadministrationsupporttoidentifiedworkwithinthepathwayasrequested

· AssisttheModern Matronwiththerecruitmentandselectionprocess;compilingcandidateletters,arranginginterviewdates,ensuringalldocumentation for successful candidates is received.

· DistributerelevantinformationtointernalandexternalorganisationsonbehalfoftheModern Matron

· Prepareandcoordinatenewstaffinductions

· To undertakeanydutiesinlinewiththeModern Matronorservice'srequirementsasrequested.

· Ensuringadministrationtasks are completed in a timely manner,includingbookingmeetings,eventsandmeetingrooms.

· SupportingtheModern Matronwithrequestsforinformation.
