Full Job Description
We are looking to recruit a proactive Materials Management Assistant to join the Theatre Department Materials Management team. This is an extremely busy position and therefore the Trust are looking for highly motivated, competent individuals with strong communication, organisation, and computer skills. Key aspects to the role include:
- To support the Materials and Equipment Manager and Team, with the procurement programme for the Theatre Department.
- Provide an internal stock replenishment service using bar code scanning and data capture systems.
- Ensure all designated stock is monitored and replenished to the agreed levels against the agreed delivery schedule.
- Resolve any supplies issues. Reporting to the Materials Manager, or deputy on a day-to-day basis, the successful candidate must possess some knowledge of stock inventory administration, together with excellent time management, problem solving and organisation skills, together with the ability to work to tight deadlines. Experience or an understanding of procurement and stock systems and processes would be of benefit but not essential for this role.
- Consistent with agreed stock levels ensure that those involved in patient care have available to them the necessary supplies whilst maintaining a minimum stock at the point of consumption.
- Provide service to customers at regular frequencies ensuring that the volume of supplies is consistent with need using hand-held terminals.
- To input requisitions using SBS oracle system in a timely manner.
- Assist in the cover for colleagues in Materials Management during period of absence to ensure continuity of service
- Assist in rationalisation and variety reduction exercises as required
- Assist in recording information to demonstrate savings and efficiency of service and to assist in the review of stock levels.
- Attend meetings, which have a relevance to service.
- Assist in the formulation and issue of timetables to customers so that they are aware of input and delivery dates from NHS Supply Chain (Runcorn)., Consistent with agreed stock levels ensure that those involved in patient care have available to them the necessary supplies whilst maintaining a minimum stock at the point of consumption.

- Advise customers of Bank Holiday arrangements following provision of information by NHS Supply Chain (Runcorn).
- Process requisitions received from customers to NHS Supply Chain (Runcorn) ensuring appropriate authorisation and that requisition details are consistent with need.
- Ensure that the appropriate "cycle" is selected for the transmission of requisition details to ensure that supplies are received by customers on the appropriate day.
- File requisitions in an appropriate sequence to assist subsequent reference and in accordance with audit requirements.
- To assist all specialities with the trust yearly audits.
- In consultation with NHS Supply Chain and customers ensure that an adequate service is provided and to ensure in particular an appropriate response to urgent or emergency requirements.
- Help customers with assistance and advice as necessary.
- Responsible for the implementation of Trust policies which have a relevance to duties and in particular Health and Safety and Audit requirements.
- To be responsible for any other relevant duties assigned by the Materials and Equipment Manager or their Deputy.
- The post holder will be required to adopt a flexible approach towards any supplies activities undertaken.

- Ensure all relevant paperwork such as stock sheets, are kept up to date. TEACHING & TRAINING RESPONSIBILITIES
- Ensure your mandatory training and appraisals are up to date and opportunities for development are researched. FINANCIAL RESPONSIBILITY
- Although there is no direct budget control the role involves managing stock levels and inventory to the most economical levels, this may mean meeting with Operational Leads in conjunction with Materials and Equipment Manager to review stock levels and help achieve CIP targets in accordance with trust policy.
