Full Job Description

Ensure that all referrals for the Multidisciplinary Assessment (MDA) are managed using the comprehensive departmental database to record all key information regarding forthcoming assessments and current waiting times. Liaise closely with families to co-ordinate appointments, answer questions regarding the process and ensure that they are well supported in line with Trust values. Liaise with a wide range to professionals from within the Trust and outside to ensure that assessments are completed with all key information collated and all key personal are aware of timings well in advance of appointments. Link closely with the consultant lead for MDAs to consider any changes and developments necessary to the smooth and efficient running of the service. Due to the specific needs of this client group and the demands on the professional team a flexible approach and good communication skills are essential. Attend and organise weekly panels meetings ensuring meetings are recorded, take minutes and send out action points to relevant staff. Work closely with the Child Protection and Adoption and Fostering coordinator offing support and cross cover when required., Provide primary administrative support to consultants, clinical staff and all patients under their care, including diary administration, correspondence support and other administrative duties as required. Type Designated point of contact for the consultants and clinic teams, handling telephone enquiries from patients, carers, GPs and other service users, ensuring that the caller's needs are met, or they are transferred to the most appropriate person. Assisting distributing incoming post to consultants. To take a lead role in the management of lists and clinics, ensuring that all patients are seen within the required time scales and in accordance with NHS targets and Trust Policies. Taking appropriate actions to ensure that requests for diagnostics and follow-up appointments are processed in a timely fashion. Arranging investigations, ensuring that these have been performed, results received and seen by relevant clinicians and filing/redirection of all investigations results as appropriate. Supporting the service to ensure compliance with 18-week referral to treatment (RTT) targets, intervening where necessary to expedite appointments and procedures to avoid breaches., The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

This post is crucial to the ongoing development of the services and would suit a candidate who has excellent organisational and communication skills. You will be expected to liaise with staff and colleagues at all levels. You should have the ability to prioritise and manage your own workload to tight deadlines. You will need to demonstrate initiative and flexibility in your approach and be able to work in a pressurised and busy environment. Knowledge of the Trust's Electronic Patient Record System (EPR) and knowledge of elective access standards would be an advantage but not essential as training will be given. This position requires the demonstration of strong organisational skills and the ability to work on your own initiative as well as being a team member.   • GCSE or equivalent in English and Maths, grades A-C
  • Good knowledge of patient pathways/ understanding of patient priorities and performance targets
  • Experience of using a full range of IT systems including; Microsoft Office: Outlook, Word, Excel
  • Maintains high standards and quality of work
  • Organising, planning and prioritising skills
  • Accurate data entry, typing and checking skills
  • Desirable criteria
  • Thorough knowledge of healthcare administrative systems and processes
  • EPR Experience
  • In-depth understanding of Medical Terminology
  • Effective minute taking
