Full Job Description

To provide all aspects of administrative support in the delivery of a full and comprehensive Undergraduate (UG) Medical Education agenda across TEWV, ensuring high quality planning and production systems for timetabling and teaching across UG programmes.
To provide support and liaison to various staff and service users for the purpose of involvement with the education and training of medical students., Please refer to the attached job description and person specification for further detailed information to ensure that you meet the role criteria before applying.
Provide a comprehensive and effective word processing service for all correspondence relating to UG activity and associated governance
meetings, including letters, emails and minutes etc.
To liaise with Newcastle University Medical School to obtain contact
details and relevant information of forthcoming medical students due to
commence their mental health rotations or elective placements.
Ensure relevant administration forms are created as required and
utilised for all medical student programmes / placements i.e. student
register, sickness absence, taxi recording forms and information sheets
including student email addresses and mobile telephone numbers.
Arrange venues within the locality / Trust and book the required rooms
for all of the Induction programme, Undergraduate teaching and
evaluation sessions, recording the specific room details upon the room
booking form.
Ensure all the relevant programme paperwork is completed, collated, and distributed accordingly in relation to medical student clinical rotations to teaching facilitators and clinical placement leads
Send letters to all students, welcoming them to the Trust and informing them of where to attend on their first day of induction.
Update and distribute the relevant teaching materials / student
timetables and Student Guidance as directed by the Undergraduate
Tutors and Nurse Specialist.
Produce confirmation emails and send to all teaching facilitators to
confirm teaching arrangements within the identified medical student
programmes.
Arrange local evaluation sessions as part of the timetable, ensuring the evaluation forms are returned from the students, and the data collated.
Co-ordinate annual facilitators for teaching delivered, ensuring the required teaching resources and evaluation materials are available for distribution and post teaching collation.
If the contract type on the vacancy states 'Fixed Term' this would mean the vacancy is being advertised to address a temporary need for the duration stipulated on the advert, however, in the event that permanent funding is secured for the post the successful applicant will be confirmed in post on a permanent basis.

You will need to have excellent verbal and written communication skills in order to establish strong working relationships with colleagues within the department, across the wider Trust and external stakeholders. You will lead on the development of individualised timetables for each student and all aspects of the administration of the medical student programme. This will involve working alongside the Nurse Lead and senior faculty members to plan and implement high quality educational programmes. The post will also involve quality checking, managing multiple information streams and service improvement and development.
The successful applicant will be required to have excellent IT skills, a working knowledge/understanding of Microsoft Office applications, particularly advanced excel and the use of databases, together with NVQ3 or equivalent qualifications (or a willingness to achieve within an agreed timescale).
Applicants should be self-motivated, have a flexible approach to work. The ability to work with minimal supervision, prioritise work and deal with complex issues, are all essential criteria for the post.

Due to the nature of the role it is essential that applicants are able to travel independently across the locality and have access to a suitable vehicle for business purposes.
