Full Job Description

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: Maintaining and monitoring the practice appointment system. Reschedule clinics when instructed by the reception manager and/or practice manager. Process personal, telephone and e-requests for appointments. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately. Signpost patients to the correct service. Initiating contact with and responding to requests from patients, team members and external agencies. Code clinical data in EMIS Web & Docman 10. Photocopy documentation as required. Data entry of new and temporary registrations and relevant patient information as required. Input data into the patient's healthcare records as necessary. Direct requests for information, i.e. SARs, insurance/solicitors letters and DVLA forms to the administration
team. Manage all queries as necessary in an efficient manner. Monitor and action the reception and prescription email inboxes. Process incoming repeat prescription requests and abide by the practice's repeat prescription policy. Process incoming new and repeat prescription requests and abide by the practice's repeat prescription policy. Liaise with the practice pharmacist and doctors with prescription queries. Carry out clinical system searches as requested. Carry out phlebotomy and chronic disease annual review patient recalls. To be named administrative lead for at least one chronic disease register and be responsible for recalling and booking patient testing and annual reviews. Monitor submitted urine samples and follow the practice's urine sample protocol. Maintain a clean, tidy, effective working area at all times. Monitor and maintain the reception area and notice boards. Support all clinical staff with general tasks as requested. Monitor and maintain stationary stocks and report to
the practice manager to order supplies. Partake in audit as directed by the practice manager. Support administration staff, providing cover during staff absences. Scanning of patient related documentation and attaching scanned documents to patients' healthcare records. Complete opening and closing procedures in accordance with the duty rota. Provide administrative support to seasonal vaccination clinics.
