Full Job Description

Lawson Road Surgery has an opportunity for a medical secretary to join their fantastic team on a part time basis, for 22.5 hours per week.

This is an essential role at the practice, providing an efficient, comprehensive secretarial and administrative support service to the practice clinical team.

The main responsibilities of the role include:

  • Providing a full secretarial service for all GPs and health professionals as required. This mainly includes sending referrals via eRS and email, using Ardens templates and formatting letters, reports, and any other correspondence in an accurate and timely manner. This includes some audiotyping but mainly the processing of tasks on SystmOne.

  • Dealing with hospital, clinical, patient and practice queries via phone and email regarding hospital appointments, correspondence and treatments.

  • Following up GP requests for information.

  • Managing advice & guidance provided.

  • Processing death certificates/cremation forms.

  • Providing template letters/forms for use by the practice, as required.

  • Maintaining the computer-based clinic system in an accurate and secure manner.

  • Assisting with the gathering of statistics and information, when required.

  • Maintaining an accurate referrals database.

  • Performing any administrative tasks requested by the practice manager.

    Sound knowledge of medical terminology.

  • SystmOne experience preferable.

  • Administrative experience and good organisational skills.

  • Excellent general IT skills and experience of working with a clinical system

  • Knowledge and use of read codes for SystmOne.

  • Excellent communication skills and a friendly approach.

  • Understanding of maintaining confidentiality and data security at all times.

  • Ability to multitask and to work accurately under pressure.

  • Ability to work as part of a team, as well as being comfortable working independently.

  • Ability to cover colleagues' absence for sickness and annual leave.

    We are a long-established city centre practice close to the heart of Norwich and offer a triage-led appointment system on SystmOne. Our list is size is 8600 which continues to grow with new developments locally. We are a teaching practice and work closely with the UEA supporting years 3,4 and 5. We are a research active practice and have a CQC rating of Good.

    The practice team consist of 5 GP partners, clinical pharmacist partner, 2 salaried GPs, 1 registrar, nursing team, care co-ordinator, patient services administration team and a range of ARRS from the PCN.
