Full Job Description

We are looking for an enthusiastic and well-organized administrator to join our busy Clinical Measurements Department at PRUH. You will be responsible for providing an effective service within the Clinical Measurement team, dealing directly with patients in the Department and over the phone.
This post offers an excellent opportunity for an enthusiastic and conscientious individual to be a part of a busy team. The work involves managing outpatient appointments for patients, dealing with referrals, together with incoming queries and day-to-day administrative duties including the EPIC system., To use the EPIC system to book patients in clinical chronological order for their diagnostic procedure
To use the patient Tracking List (PTL) to find and action the next steps for each patient.
To act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GP's, clinicians, students, nursing and administrative staff, always understanding the sensitive nature of calls.
To ensure that the data input to the hospital IT systems -EPIC meets the required standards of data quality, accuracy and timeliness.
To ensure all patient demographic details (address, postcode, GP & Ethnic Group) are checked and any amendments/corrections are carried out in an accurate and timely fashion.
To organise the daily office routines, such as checking voicemails, emails, EPIC reports (My Chart and Envoy) sorting documents/ post, ordering stationery, equipment and photocopying for the team as necessary.
To process all patient referrals within nationally agreed time frames, i.e. ensuring 2-week wait cancer policy and in accordance with the Trust's Access Policy.
To ensure that results of tests, investigations and any correspondence received are recorded and added to the patients Chart Review on EPIC.

The successful candidate must have experience of performing administrative duties in an NHS or private hospital setting, as well as excellent communication and organisational skills, be able to work well in a team. We are looking for someone who can multitask, have strong administration abilities and can prioritise their own workload.
Familiar with I.T. packages, have a good telephone manner with the ability to take clear messages and perform general office duties. You will have a good general education with the equivalent of GCSE's in English and Math's at Grade A-C and have an attention to detail. A willingness to learn and develop skills will be positively encouraged. You will become part of an enthusiastic team and will play an instrumental part in the smooth running of the department.
