Full Job Description
Provide day to day PA/Medical Secretary support to consultants and their team.
Provide a first line point of contact for patients with queries relating to their diagnostic/treatment pathway.
Manage consultant's diaries with regard to clinical and non-clinical activities
Liaise with consultants and clinical teams in regard to in-patient waiting lists, including arranging admissions for patients requiring surgery.
Ensure that all clinical correspondence is transcribed in a timely manner.
Be responsible for consultant's correspondence received into the Trust
Ensure that results of patient's investigations are brought to the attention of the consultants and/or medical teams.
Liaise with wider team to ensure that patients receive appropriate information regarding outpatient appointments, Job responsibilities: Please note for a specific detailed job description for this vacancy please see attached job description.
To provide a comprehensive service to consultants and speciality teams including nurse practitioners/clinicians.
Keep diary up to date, arrange appointments, and arrange travel and accommodation.
Operate an effective bring forward system and filing system.
To manage and maintain 18-week Referral to Treatment (RTT) pathways including tertiary referrals to external trusts, and ensure these are accurately recorded on Patient Administration system (PAS).
Keep track of referrals to ensure the patient is reviewed promptly. Check that follow up appointments are arranged in conjunction with RTT pathway
Support consultants in non-clinical activities role by preparing presentation documents using relevant packages and arranging meetings, set agenda, circulate agenda/supporting papers as appropriate, and take minutes at meetings
Ensure appropriate personnel are informed of consultant annual leave/study leave. Keep consultants informed of junior doctor leave, as it could have an effect on the service.
Organise and maintain consultant's admissions. Cancel and add patients to the waiting list, as appropriate, ensuring lists are updated, and patients contacted. Liaise with pre-operative clinic, anaesthetic department and ward. Complete and amend theatre lists appropriately.
Type dictation from audio transcription of clinical correspondence and documentation.
Maintain an effective track on inpatient referrals to ensure the patient is reviewed promptly.
Check against clinical letters to ensure appropriate follow up arrangements/investigations are in place
Work from initiative, using own judgement to deal with queries and resolve situations or refer to appropriate person
Deal with enquiries either on the telephone of face to face from patients, consultants, junior doctors and colleagues.
Ensure all correspondence relating to patient care is acted upon in a timely manner.
A key aspect of the role involves daily communication with patients, consultants and other health and care professionals and therefore the post holder must have exceptional non-verbal and verbal skills.
Mentor, train and supervise relevant staff as required.
We are looking to recruit an enthusiastic and motivated Band 4 PA/Medical Secretary to join our secretarial team within the Breast and Endocrine Surgery Department. The post requires an individual who is resilient and adaptable to work in a fast-paced professional environment.
It is expected that applicants will have completed the AMSPAR Medical Secretary course and have previous experience of working within the NHS within a medical secretarial role. Extensive knowledge of medical terminology is essential as are audio typing skills.
You will provide a comprehensive service to consultants and speciality teams.
You as a successful candidate will be working alongside an established team of Band 4 Medical Secretaries.
You will demonstrate excellent organisational skills, flexible approach and able to exercise initiative.
You will be responsible diary management, consultant waiting lists, typing clinic letters, chasing results and providing support for the secretaries and service.
You should have good communication and organisational skills, be well-organised, flexible in approach and able to use your own initiative in prioritising your workload.
