Full Job Description
To provide a comprehensive service to consultants and speciality teams including nurse practitioners/clinicians. Diary management, arrange appointments, and arrange travel and accommodation. Support to consultants in non clinical activities role by preparing presentation documents using relevant packages and arranging meetings, set agenda, circulate agenda/supporting papers as appropriate, and take minutes at meetings. Type dictation from audio transcription of clinical correspondence and documentation. Type discharge summaries as appropriate. Maintain an effective track on inpatient referrals to ensure patient is reviewed promptly. Work from initiative using own judgement, acquired knowledge and tact to deal with queries and resolve situations or refer to appropriate person. Deal with enquiries either on the telephone of face to face from patients, consultants, junior doctors and colleagues in an appropriate manner. Ensure all correspondence relating to patient care is acted upon in a timely manner. Be able to work as part of a team, promote effective flows in the department to cover leave to ensure office runs smoothly., To provide a comprehensive service to the Palliative Care and speciality teams at Woodlands Hospice and Aintree University Hospital, under the minimum of supervision. Organise your own workload and co-ordinate activities with other medical secretaries to ensure that an efficient service is provided. It is essential that you show initiative commensurate with the role and it is vital that confidentiality should be maintained at all times. Bank posts require upfront payment. DBS applications submitted from 2nd December will be subject to the new DBS fee of £26.50 (standard) and £54.50 (Enhanced). From April 2017, Skilled visa applicants and their adult dependant(s) will be required to provide a criminal record certificate from each country they have lived in consecutively for 12 months or more in the past ten years. We are looking to recruit an enthusiastic and motivated medical secretary to join our busy administrative team to support this innovative service. We require an individual who works well as part of a team and with excellent organisational, interpersonal and communication skills. You should have a compassionate and caring approach with the ability to remain calm and professional within this specialist area of care. It is essential that you are able to co-ordinate your own workload with minimum supervision whilst also supporting the wider administrative workstreams of the service. The role involves a wide range of secretarial duties including the management and processing of referrals, audio transcription of medical discharge summaries, preparation of meetings, minute taking and diary management, dealing with telephone and direct communications from patients, families and other health professionals.,
- Educated to GCSE/O Level standard/equivalent or higher
- RSA/OCR Typing/Word Processing Level III or equivalent
- RSA/OCR Audio typing skills Level III
- Secretarial qualification or equivalent experience Desirable criteria
- ECDL or equivalent
- Shorthand, Experience working in an NHS office environment as a medical secretary
- Experience of supervising and motivating a team, Knowledge of medical terminology, Knowledge of internal PAS system, Ability to communicate professionally at all levels in a helpful, courteous manner.
- Excellent organisational skills
- Excellent I.T. skills with knowledge and experience of all Microsoft office packages
- Ability to organise workload effectively and prioritise to meet deadlines
- Time management skills
- Excellent interpersonal and influencing skills, Ability and willingness to undergo further training in accordance with the needs of the post
- Willing to adapt and be flexible
