Full Job Description

The role of medical workforce advisor for E-Rostering and rota management involves providing support to the medical Workforce in the provision of a range of medical HR and medical staffing support services, processes and procedures including the booking of temporary medical staffing and medical HR administration. The role involves ensuring the distribution and maintenance of the out-of-hours rotas, daytime medical rotas and that temporary cover is sought in a timely manner for staff. To provide a point of contact for doctors in training regarding especially rota queries and other contractual issues., · Maintain, update, and publish out of hours rotas to required parties on a daily basis including but not limited to all trainee rotas, consultant rotas and section 12 rotas.
· Ensure future and current rota gaps are identified; escalated and temporary cover is sought using the NHS Professionals internal bank or external agencies and contingency plans are in place using own initiative at times. Support the recruitment of locum bank staff, following necessary processes and procedures
· Understand the Trust's systems and use these in building safe and compliant rotas
+ O Overseeing the junior doctor rotations ensuring the processing and administrative support for induction, recruitment, pre-employment checks, ESR input and contract issuing
+ Support Medical recruitment
+ Support projects that impact and benefit the medical workforce

We have a small experienced team, and you would be given the training and support necessary to enable you to fulfil this diverse role supporting on range of HR administrative and contractual matters with accuracy, organisation and a professional approach., · Maintain, update, and publish out of hours rotas to required parties on a daily basis including but not limited to all trainee rotas, consultant rotas and section 12 rotas.
· Ensure future and current rota gaps are identified; escalated and temporary cover is sought using the NHS Professionals internal bank or external agencies and contingency plans are in place using own initiative at times.
· Use NHSP connect, and other online systems to seek rota cover
· Receive and answer rota queries, escalating where necessary.
· Liaise with the trainee representatives, inpatient consultants and director of medical education in the production of a daytime rota and ensure it is distributed in a timely manner
· Support the recruitment of locum bank staff, following necessary processes and procedures.
· Adhere to all trust and nationally agreed rules / terms and conditions around the use of bank and agency staff.
· Monitoring of the use of annual and study leave for all staff ensuring that the correct level of cover is always provided and that this is recorded appropriately.
· Understand the Trust's systems and use these in building safe and compliant rotas
· Produce resident doctor work schedules including for LTFTs
· Being a point of contact for sickness reporting for all medical staff, to be recorded appropriately on ESR/Trust systems and to ensure sickness cover for rotas is sought.
Temporary Staffing Cover
· In addition to sourcing temporary cover for out of hours work the role requires the use of NHSP connect to source daytime cover for all graded medical staff.
· Responding to locum requests in a timely manner.
· Keeping up to date with national and trust level temporary staffing agreements and streamlining initiatives.
· Maintaining accurate records of usage and spend of all agency and bank staff.
· Helping to support the medical managers in reducing medical agency spend.
· Implementing service improvements and systems.
· Being a timesheet authorizer for agency doctors.
· Ensure all temporary staff are compliant and up to date with all NHS employers checks.
· Challenge agencies with costs and quality.
· Liaise with external and internal stakeholders as needed such as agencies, NHSP, the medical directorate and other HR services.
Medical HR Responsibilities
· Overseeing the junior doctor rotations ensuring the processing and administrative support for induction, recruitment, pre-employment checks, ESR input and contract issuing. Supporting and working collaboratively with colleagues including Post Grad to ensure code of practice deadlines are met.
· Organise IT, care notes, ICE and other system access for all junior doctors.
· Maintain and input systems and databases as required to support service delivery.
· Manage maternity leave processing for medical staff and provide advice as required.
· Manage sickness absence cases for medical staff and provide support to other employee relations cases.
· Oversee Medical recruitment and the setting up of AAC panels.
· Provide advice on medical and dental terms and conditions and Trust specific HR queries.
· Initiate and support projects that impact and benefit the medical workforce.
· Support with the collating of information required for relevant mandatory reporting, audits, management reports and freedom of information requests.
· Cover colleagues within the Medical HR Team during periods of absence or leave.
· Attend meetings on behalf of medical workforce
· Deliver and produce training where required for doctors in relation to medical workforce.
+ To be able to analyse data and provide clear identification of issues and potential solutions.
· To take part and contribute to policy review and development as and when required
· To support the medical workforce team with any other duties commensurate with the role
