Full Job Description

To provide a comprehensive and confidential administrative support to the service, the post holder will be required to undertake a range of tasks working in an office environment, including accurate data input, in house data bases, answer phone calls and email enquiries and to arrange appointments, whilst delivering a confidential friendly and client focused service.
· Provide a friendly and professional telephone service whilst answering the telephone to various stakeholders, including medical staff and professionals. Greeting callers, signposting to other services, taking messages, or dealing with queries.
· Deal efficiently with all enquiries to the office using initiative, diplomacy and sensitivity. The ability to deal competently and courteously with a wide range of contacts is essential.
· Respond with tact and sensitivity within the day-to-day role, exercising judgement when dealing with enquiries.
· Update, maintain and amend databases and systems as appropriate.
Take appropriate action to solve problems arising from the office environment, · Daily management of own workload seeking clarification from a supervisor when required.
· Communicate effectively on a range of matters on a daily basis via the telephone, teams and email.
· Implementing new procedures as and when they are requested.
· Communicate in a manner that is consistent with Trust policies and procedures whilst presenting a positive image of the service.
· Receive and process incoming and outgoing communication and identify priority items., · Daily inputting of data onto a number of databases, ensuring all data is recorded accurately and in a timely manner.
· The transfer and collation of information onto in house database systems including the trainer database and rotation spreadsheet.
· Responsible for the safe storage of data & information in accordance with Trust policies.
· Book participants onto training courses, keeping a log and issuing certificates.
· To follow up mandatory checks by phone, letter or email.
· Undertake surveys using survey monkey and jot form.

Disclosure Barring Certificate check
All of our new starters, who are appointed to a post which requires a Disclosure Barring Certificate check (DBS), will be recharged for the full cost of the check (DBS checks for volunteers are free of charge).
An enhanced DBS check costs £38 and a standard check costs £18 (plus an administration charge of £3.50). If you are a substantive member of staff, the full amount will be taken from your first month's salary.
If you are a member of staff on our bank, you will need to repay the full amount from your first salary.
We encourage you to register with the DBS update service at an annual cost of £13 (this is mandatory for bank staff).
