Full Job Description

The role of Team Assistant reports into Georgia Reed-Stevens, Sales Enablement & Operations Manager. The main aim of the role is to support leaders and members of what was previously our Marketing Solutions Division, with requirements and duties such as but not limited to :

  • Offering a varied range of diary support for the Executive Team and Senior Management. Such as but not limited to assisting booking internal and external meetings, communicating the organisation clearly in emails and scheduler as well as arranging meeting room bookings, parking spaces and any other associated support.
  • Taking minutes and chasing up on actions in various internal & external meetings.
  • Supporting the Compliance Team to answer calls & emails from the public who wish to be removed from the mailing register.
  • Within this process, you will need to update compliance logs and liaise with internal staff to complete the removal process within the necessary timescales.
  • Travel arrangements. Such as but not limited to arranging train tickets, flights, hotel bookings etc.
  • Supporting with the organisation of Quarterly Achievement Awards' for staff who win the award.
  • Supporting with the organisation of offsite events for the Executive Team and Sales Teams such as the Annual Sales Flying Colours Event.
  • Support the coordination of training workshops alongside colleagues.
  • Manage the organisation of quarterly Induction Programme.
  • Manage the purchases and distribution of welcome gifts and comms for new starters in the Marketing Solutions Division.
  • You will need to :
  • Multi-task across a number of requirements at any one time, whilst being able to push back & prioritise accordingly.
  • Be organised and diligent in order to complete your work efficiently and to a high standard.
  • Be positive and proactive in supporting the teams.
  • The role will be busy & varied, no one day will be the same!
  • You may be required to perform ad-hoc tasks over and above those mentioned within this job description. These should be prioritised accordingly, dependent on who the requests have come from and other tasks you have in flight.
  • Communication is key between you and the teams, whether it is regarding your progress of tasks assigned to you, or if you need to clarify any requests if you don't fully understand what's expected of you.
  • Take ownership of your workflow and manage your time effectively to ensure all tasks are completed diligently and on time.
  • If you foresee a delay for whatever reason, this must be communicated to the relevant people as soon as possible.
