Full Job Description

40 hours per week The National Compliance Manager will play a pivotal role in ensuring operational excellence and compliance across a high-profile manned guarding contract within the UK. This role requires a detail-oriented, proactive individual to manage and oversee all aspects of operational compliance, auditing, and regulatory adherence in conjunction with the Head of Security and National Operations teams. The successful candidate will be responsible for conducting audits, managing compliance processes, reporting to key stakeholders, and ensuring that service level agreements (SLAs) are consistently met. -Key ResponsibilitiesWeekly Fault Report Ownership & Compliance- Ensure that all fault reports from security equipment, systems, and operations are completed, submitted, and addressed within the weekly timeframe.- Follow up with the relevant teams to ensure faults are resolved in a timely manner, minimizing any potential impact on service delivery.Workplace System Compliance- Oversee the daily shift reconciliation process, ensuring accuracy in shift attendance, handovers, and reporting.- Ensure that any discrepancies in staffing or attendance are addressed immediately, maintaining accountability and compliance with staffing requirements.- Responsible for the day to day WorkPlace + review to ensure the following is managed:

  • Scheduling of all sites 7 days in advanceDaily Rec's completed across each site by 10.30Financial compliance across WP+ ensuring the contract rates match the systemTraining shifts managed and coded on the system correctly to ensure they present correctly for profit
  • and loss reviews
  • Trained Mitie employees for each site are added or removed from the WP+ systemEach site has Assignment Instructions & Risk Assessments uploaded to WP+Site visits are captured on WP+Pay Queries are processed weekly on WP+
  • -Monthly Security Audits (UK-Wide)- Conduct thorough monthly security audits at all locations across the UK to ensure all operations meet the required security and safety standards.- Identify areas for improvement during audits and work with location managers/supervisors to implement corrective actions, following up until all issues are resolved.Emergency Response Audits- Partner with the Mitie Emergency Response management team to conduct monthly emergency response audits.- Ensure that any issues or actions identified are tracked and closed out promptly, maintaining preparedness for emergency situations -Headcount & Establishment Spreadsheet Management- Maintain a comprehensive and accurate establishment spreadsheet detailing staffing levels across all sites.- Regularly update and inform the Head of Security on current headcount, vacancies, and recruitment progress to ensure full compliance with staffing requirements. Pay Query Compliance- Ensure all payroll queries are addressed in a timely and compliant manner, working closely with the HR and payroll teams to rectify any discrepancies or delays. Training Compliance (Mandatory & Site-Specific)- Ensure all security personnel receive the necessary training, including both mandatory and site-specific requirements, in a timely manner.- Track training completion rates and follow up with site managers to ensure compliance across the contract. Service Level Agreement (SLA) Completion & Follow-Up- Ensure compliance with all agreed SLAs across the contract and follow up on any action items that arise from SLA reviews with the client or internal teams.HR Support & Investigations- Provide support in HR matters, including investigations, disciplinaries, and grievance procedures, ensuring that all processes are handled in line with company policy and legal requirements.Resource Level Compliance- Collaborate with the National Operations Manager to ensure adequate resource levels across all sites, managing recruitment, rostering, and staff deployment to meet contractual obligations. Equipment Compliance Across Locations- Ensure all equipment (e.g., radios, CCTV systems, vehicles, uniforms) is compliant with operational and safety standards.- Conduct regular checks to ensure equipment is maintained, functional, and replaced when necessary.Corrigo Compliance- Ensure all work orders and maintenance requests within the Corrigo system are addressed, updated, and completed in accordance with compliance standards. Purchase Order (PO) Compliance- Oversee the approval and tracking of purchase orders to ensure that all financial procedures are followed and purchases align with company policies.Basic Administrative Tasks- Complete routine administrative duties such as document control, meeting scheduling, and reporting to ensure smooth operational workflows.KPI Reporting & Compliance- Ensure Key Performance Indicators (KPIs) are compiled, reviewed, and submitted on a monthly basis across all UK sites, providing insights into operational efficiency and areas for improvement.16. Merlin Reporting Compliance- Manage and maintain compliance with the Merlin reporting system, ensuring all incidents and operational updates are logged and reported in a timely and accurate manner.- Responsible for the management and control of Merlin across the National portfolio which will include:
  • DOB usageIncident reportingAI & RA client uploadsPatrolling system set up and usageMerlin development for the contractRemote Monitoring & Mobile Response Service Compliance- Oversee compliance with remote monitoring
  • and mobile response services, ensuring they are operational and meet agreed service levels.Project Work- Lead or contribute to special projects as directed by the Head of Security, ensuring all objectives are met within agreed timelines.Monthly Highlight Reporting- Produce comprehensive monthly highlight reports to inform stakeholders on performance, compliance, and key issues across the contract.Leaver Check Compliance- Ensure proper offboarding procedures for departing employees, including security clearance and equipment return, to maintain operational integrity.Driver Compliance Using Dash Cam Software- Monitor driver behaviour and compliance using dash cam software, ensuring all drivers adhere to road safety and operational protocols.Operational Meeting Preparation & Participation- Attend regular operations meetings, preparing content and updates on compliance, audits, and performance for discussion with the management team.Uniform Compliance- Ensure all security personnel are compliant with uniform standards, including appearance, functionality, and branding, and take corrective actions as needed.Weekly Accountable Person Reports- Ensure weekly Accountable Person Reports are completed and submitted to the appropriate personnel as stipulated by the Head of Security.Intouch App Compliance- Ensure employees are utlising the Intouch app for book on/off & check call compliance, Skills and Experience Required- Proven Experience in Compliance Management: At least 3+ years of experience in a compliance, auditing, or operations management role, preferably within the security or facilities management industry.- Strong Analytical and Auditing Skills: Ability to conduct detailed audits, identify areas for improvement, and drive resolutions.- Knowledge of Security Regulations and Best Practices: Comprehensive understanding of UK security regulations, health & safety, and operational standards.- Excellent Communication and Reporting Skills: Ability to produce high-quality reports, communicate audit results, and present compliance findings to senior management and clients.- Leadership & Team Management: Experience leading cross-functional teams, collaborating with operations and HR to ensure compliance and maintain high performance standards.- Attention to Detail: Ability to manage multiple compliance areas simultaneously, ensuring that no aspect is overlooked.- Proficiency in Compliance Software and Tools: Familiarity with tools such as Corrigo, dash cam software, payroll systems, and KPI reporting tools.- Ability to Travel: Willingness to travel to multiple locations across the UK to conduct audits and compliance checks.Reporting Structure- Reports to: Head of SecurityLocation- UK-wide travel required with a base location to be confirmed.Salary & Benefits- Salary: Competitive, commensurate with experience.- Benefits:- Company Car: Provided as part of the package for national travel.- Mobile Phone: Provided to facilitate communication and compliance duties.- Laptop: Provided to support remote work and reporting requirements.- Additional benefits may include pension scheme, healthcare, and performance-based incentives.Additional InformationThis role requires flexibility, adaptability, and a keen eye for detail.
