Full Job Description

The postholder will be a key member of the Estates team and this role will support the Estates Managers in delivering the overall estates strategy working with the team to support a culture of collaborative innovation and integration across all NWL partners. The postholder will be a motivated, organised individual who is a self-starter, able to adapt to new ideas and ways of working as they support the delivery of the ICB ambitions. The post holder will provide day to day support to the projects across a number of key workstreams and defined projects through professional, efficient and responsive administration. Responsible for decisions made during the course of duties, seeking guidance and escalating issues where appropriate Assist with the delivery of projects as directed by the Project Managers and raising any issues with delivery.

Act as a flexible resource and be responsible for day-to-day support to the team for allocated work areas/projects Prioritising workload across the team and deadlines to completion Responsible for day-to-day support to the team for allocated work areas/projects Responsible for providing admin support to the Project team as required and in line with defined work areas, carrying out standard office and administrative functions, including but not limited to: -Responsible for organising meetings and including preparation, coordination and distribution of agendas -Minute taking, action log recording etc. to include distribution and chasing updates as appropriate -Planning any administrative work as required in line with projects and changing priorities -Checking and responding to emails sent to the Team shared inbox on a regular basis -Provide, receive, and share routine information
with relevant team members and external contacts from both planned and reactive tasks. -Attend meetings, committees and working groups as and when requested by the Project Team Prioritising workload across the team and deadlines to completion Communicate effectively with colleagues and partners at all levels Work flexibly to accommodate the requirements of the team and services To follow policies for own area of work and support the Project Team in monitoring and overseeing risk, governance processes and reporting systems, ensuring that all policies and procedures are adhered to.

Support the production of reports, plans & risk registers and any other relevant documents as required by the Project Team. To support the development of the professionalism of the Estates department to reflect best practice through understanding and sharing knowledge of national and local guidance. To actively contribute towards service development and work in accordance with the Project team on the development of new and revised policies or procedures To work in conjunction with the Project team and Programme Manager to ensure assigned project budgets are on track To work on own initiative and undertake regular audits to ensure projects plans are on track for completion/delivery The list of duties is not exhaustive, and the post holder may be required to undertake additional duties to meet the requirements of the service.
