Full Job Description

We are seeking a proactive, flexible and self-motivated individual to provide professional administrative support to a wide range of business functions and areas to facilitate the day-to-day running of the office and store network. You will be a pivotal member of the team, responsible for varied administrative duties, working closely with Directors and the wider team.

This is a role where you have to be highly organised and able to spin those plates as, in amongst your daily tasks, you are reactive in your support to the wider team; you might need to arrange a last minute travel and accommodation request, get an important document sent out before deadline or have an urgent query come in that needs actioning so it's important to have the ability to prioritise a diverse and changing workload. You'll be keen to manage multiple tasks and thrive off having autonomy in your role and the independence to manage your own time and workload.

What you will do

  • General administrative support including answering phones, data entry, minute taking, handling and responding to correspondence including phone calls, emails and letters.

  • Manage inventory of office and store supplies, including stationery, uniforms, cleaning products and refreshments, placing orders when necessary.

  • Assist in coordinating travel itineraries, domestic and international, arranging flights, transport, accommodation etc.

  • Preparing documents and updating various company information & systems.

  • Act as a key point of contact for external contractors.

  • Provide PA support for the Company Directors including activities such as diary management, travel arrangements, events planning, and ad hoc project support.

  • Proactively meet and greet visitors and contractors.

  • Prepare meeting/training rooms including setting up chairs and arranging refreshments.

  • Demonstrate professional communication and engagement with colleagues to ensure an effective business support service.

    Excellent organisational skills.

  • Strong communication skills in person, via email and on the phone.

  • Excellent IT skills and good knowledge of MS Office packages (Word, Outlook, Excel, PowerPoint).

  • Experience of diary management.

  • Ability to build strong relationships with both internal and external stakeholders.

  • Flexible team player with a self-motivated attitude.

  • Ability to work on own initiative.

  • Can work independently as well as collaborate with a team.


  • Experience, aptitude and enthusiasm are more important to the role than qualifications. There are no minimum academic qualifications required, although the position requires high levels of numeracy and literacy so a good general education to a GCSE or equivalent standard is important. Previous administrative, office assistant or PA experience would be beneficial.
