Full Job Description

We are seeking a highly organized Office Administrator to manage and coordinate various office tasks, ensuring smooth daily operations. In this role, you'll handle everything from maintaining supplies and facilities to supporting team members with administrative needs. Your efficiency, attention to detail, and proactive approach will be essential in keeping our office running smoothly.   • Maintain and track kitchen and stationery supplies using an Excel spreadsheet on SharePoint.
  • Ensure the coffee machine is fully operational, arranging repairs and restocking as needed.
  • Manage security card distribution for office floor access.
  • Keep the office clean and organized, regularly coordinating with cleaning contractors.
  • Build and maintain strong relationships with office contractors.
  • Communicate upcoming office maintenance through the shared calendar.
  • Track and monitor job completion by suppliers and maintenance teams.
  • Order, monitor, and track all office supplies and expenses.
  • Provide a monthly report on office spending.
  • Process purchase orders and invoices for office supplies.
  • Coordinate and plan office social events.
  • Communicate office updates and information to staff.
  • Assist staff with travel and accommodation arrangements.
  • Coordinate courier services and manage office supplies deliveries.
  • Collaborate effectively with all departments across the business. Handle daily incoming and outgoing mail.


  • Relevant experience in office administration or management, with a proven track record of handling diverse administrative tasks.
  • Experience in organising and coordinating office events.
  • Previous experience working onsite at a medium-sized corporate office.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) as well as travel management software (e.g., Click Travel).
  • Experience in managing and maintaining Excel trackers.
  • Strong work ethic, professionalism, and a commitment to confidentiality.
  • Positive attitude and a proactive approach to supporting office operations.
  • Experience in raising purchase orders (POs) and managing the invoice process.
  • Desirable
  • Any relevant certification to support the role, such as First Aid, CPR, Office Safety, etc. Relevant experience in real estate or property companies
